Position Summary:

The Administrative Assistant will be responsible for acting as main point of contact for directing internal and external customers in person and via other communication systems such as phones. The ideal candidate will have a friendly and easygoing personality while also being perceptive and disciplined. A customer-oriented approach is essential.

Responsibilities:

  • Greet and welcome guests as soon as they arrive at the office. Direct visitors to the appropriate person and office.

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor check in system Envoy, and issue badges).

  • Issue new employee badges.

  • Answer, screen, and forward incoming phone calls.

  • Receive, sort, and distribute daily mail/deliveries.

  • Ensure reception and main cafe areas are tidy and presentable, with all necessary materials (e.g., pens, forms, utensils, and other items).

  • Order front and back of house office supplies and keep an inventory of stock.

  • Pull daily and weekly reports

  • Perform other clerical duties such as maintaining a group calendar, filing, photocopying, and transcribing.

  • Assist with events (placing catering orders, set up/clean up)

Qualifications

  • Must be a US Citizen or have US Permanent Resident .

  • Must be organized and able to prioritize tasks efficiently.

  • Must be able to multitask and effectively use time-management skills, with the ability to be resourceful and proactive when issues arise.

  • Professional attitude and appearance, with a focus on customer service.
