Job Description

The Opportunity:

Works directly with Area Managers, Ranch Managers and Ranch Foremen for day-to-day office support. Works directly with lead Ranch Admin in standardizing workflow between corporate office and field offices. Promptly reports all problems and/or successes and any other reports required by Area Managers.

Responsibilities:

  1. Verify insurance coverage through the corporate office for all new vendors and current vendors.

  2. Request required insurance from current vendors and new vendors and notify the insurance coordinator at the corporate office of the requests.

  3. Verify pesticide use report(s). Use Agrian.

  4. Assist Area Manager, Ranch Managers and Ranch Foremen in ensuring compliance on issues such as compressors, setting up inspections through workers’ compensation carrier, air pollution county districts compliance, etc.

  5. Code all invoices for various ranches for the Area Manager’s approval.

  6. Track all vendors and invoices in Excel.

  7. Complete equipment tracking request forms for any equipment being added, deleted or rented on any of the properties.

  8. Retrieve/Deliver parts for the various ranches as needed.

  9. Assist Area Manager and Ranch Managers with the budget process.

  10. Assist Area Manager, Ranch Managers and Ranch Foremen in effectively handling all compliance for contractors, labor contractors, vendors, equipment and processors.

  11. Assist with the bidding process.

  12. Greet and direct office visitors, respond to direct requests for information and/or forward messages to appropriate staff.

  13. Receive and distribute all incoming mailing, coordinate outgoing mail including courier services, postage and interoffice mail distribution.

  14. Perform inventory of the various ranch equipment annually.

  15. General office duties such as typing, filing, ordering office supplies, faxing, etc.

  16. Ensure the offices are kept in order.

  17. Request, track and send all Monthly Management Reports to corporate office.

  18. Track and file property monthly inspection paperwork.

  19. Assist with credit applications for various vendors.

  20. Data entry of harvest records such as load sheets, weight tags, etc.

  21. Other duties as assigned.

Qualifications:

• Must be able to work in a fast-paced environment and meet deadlines.

• High level of analytical ability and accuracy.

• Proven skills in developing and implementing data tracking for information.   • Good organizational and problem solving abilities.

• Excellent written and verbal communication skills.

• Strong computer skills.

• General knowledge of Microsoft Access and Excel. Trainable in creating and formulating database, spreadsheets and pivot reports.

• Must be able to work well with management.

• Must be able to communicate well with others.

• Must possess valid driver’s license and be insurable with company’s commercial carrier.

• Must be able to work nights as needed.

• Must be able to travel regionally and frequently drive long distances.

• Complete drug testing prior to hire, and comply with company's drug and alcohol policy.

PHYSICAL DEMANDS:

• Frequent sitting, occasional lifting of up to 25 pounds.

• Must be able to travel and frequently drive long distances.

• View and type on computer screens for long periods. • Type at least 40 wpm

WORK ENVIRONMENT:

• Must be able to work in a fast paced environment

• Office is small with open floor plan, but is very quiet • Business casual office attire

• Work is performed inside a temperature-controlled office building 100% of the time.

Salary & Benefits

The annual base salary for this role is listed below.

Primary Location

Salary range is expected to be between

$39,825.00 USD - $66,375.00 USD

The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training. Employees also have the opportunity to participate in incentive programs and earn incentive compensation tied to business and individual performance.
