The Home for Little Wanderers Administrative Assistant-Full Time in Windsor, New Hampshire

Description

The Wediko School is seeking an Administrative Assistant to provide support to the Wediko School Program including but not limited to: phones, filing, sorting high volume of mail, maintaining, coordinating and processing of confidential paperwork, report editing, fingerprinting and general bookkeeping.

General Office

  • Answer telephone switchboard, direct calls.

  • Office opening / closing duties.

  • Copy & transmit faxes.

  • Log in visitors for meetings, tours, inspections, etc.

  • Set up files for new student reports (Weekly Progress Reports, Official Logs).

  • Keep medical log and van bags updated with student information.

  • Maintain postage meter / account and copier maintenance and repairs.

  • Post outgoing mail and packages for shipments such as student belongings.

  • Sort mail and faxes. Mailbox maintenance for seasonal and year round staff.

  • Weekly Menu – type and distribute.

  • Critical Incident Reports (CIR’s) – record and file.

  • Order office/school supplies.

  • Fingerprint new hires and incoming summer staff.

  • Back up other members of the administrative team.

Transportation

  • Coordinate and update weekly student transportation runs.

  • Charge student electronics for travel (phones, i-pods, etc.).

  • Set up, collate & distribute weekly student packets.

  • Maintain transportation agency list.

  • Manage outside vendor transportation as needed.

  • File weekly logs to student files.

  • Maintain and update weekly the label and school work distribution binders.

  • Look up and print directions as needed for van runs and appointments.

  • Maintain van reservation calendar, track keys (van log) and Ez Pass transponders.

  • Manage EZ-Pass account.

Bookkeeping

  • Fill petty cash and check requests, petty cash replenishment & bank runs. Make register entries to QuickBooks. Manage petty cash drawer and reconcile with registers; credit card usage through request sheets & receipts.

  • Enter bills from invoices and statements.

  • Process & post pay advances and tuition reimbursements

  • Manage clothing allowance and travel ledger accounts.

  • Monitor checking account balance and request transfers as needed.

  • Collect and enter W-9’s for vendors, subcontractors and consultants.

Qualifications

  • One year work experience in office setting and multi-line phone system.

  • Experience with MS Office, electronic calendars, and QuickBooks or equivalent accounting software package as well as a general understanding of bookkeeping practices.

  • Must be a well-organized, reliable team member and be able to function efficiently in a fast-paced environment and display both friendliness and professionalism when working with supervisors, coworkers, students, parents and outside vendors.

  • Impeccable follow-up skills required.
