Provide customer service and information to citizens pertaining to real estate documents. Updates and maintains ROD RMS database. Works with department to maintain and update data for use by the public and other land records departments.

Maintain and update data in RMS

  • Process documents pertaining to land records that meet statutory requirements
  • Work with department to ensure data entered into RMS is accurate
  • Communicate with other land records when document processing is completed
  • Record and retrieve DD214 military service records upon request

Utilize RMS, GIS, Aumentum, Nexus Payment Systems, and other programs to provide customers with assistance and requested document copies

  • Utilize GIS website to locate parcels for customers to be able to assist further with providing copies and/or answering questions
  • Utilize Nexus Payment systems to process payments for customers who request copies or record documents with the Register of Deeds
  • Use Grantor/Grantee Books when necessary to retrieve documents for customers
  • Use the film readers to make copies for customers upon request
  • Assist with retrieving less complex documents from vault archives

Assist the public by phone and in office regarding documents to be recorded, previously recorded documents, and assists with the Register of Deeds passport and veteran program

  • Provide copies of recorded documents to the public, upon request
  • Assist with questions regarding recording requirements, and provide resources when necessary
  • Use knowledge of the Passport process as a certified Acceptance agent, and schedule passport appointments

Minimum Qualifications: High school diploma, GED, or equivalent. Two (2) years of experience in money handling, book keeping, banking, and/or any combination of these. Completion of all in-house training. Position may be filled by the Registrar at their discretion and as needed for the functions of the office. Use of Microsoft Office.

Preferred Qualifications: High school diploma, GED, or equivalent. Three (3) years money handling, book keeping, banking, and/or any combination of these. Completion of all in-house training, passport training, begins eRe training, and answering incoming phone calls. This may be filled by the Registrar at his/her discretion and as needed for the functions of the office.
