As a leader in both the region and the country, we are seeking a highly skilled and experienced Executive Assistant to join our dynamic team and support our executive leadership.

The Executive Assistant will play a pivotal role in ensuring the smooth functioning of the executive office at The Rallye Motor Company. The ideal candidate will have a proven track record as an executive assistant supporting multiple C-Level executives, exceptional organizational abilities, and advanced spreadsheet skills. This role demands a high level of discretion, efficiency, and the ability to thrive in a fast-paced, multi-store, luxury automotive dealership environment.

Responsibilities:

  • Administrative Support:

  • Manage executive calendars, appointments, and travel arrangements.

  • Act as a primary point of contact between executives and internal/external stakeholders.

  • Handle confidential and sensitive information with the utmost discretion.

  • Performing minor accounting duties, such as expense reports, event budget tracking, etc.

  • Maintaining comprehensive and accurate records.

  • Communication:

  • Draft, proofread, and edit correspondence and reports for executives.

  • Facilitate effective communication within the executive team and across departments.

  • Get to know visitors, vendors, clients, and the employees, and identify their purpose and relationship to and within the organization.

  • Meeting Coordination:

  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.

  • Attend meetings, take accurate minutes, and follow up on action items.

  • Data Management:

  • Utilize advanced spreadsheet skills to analyze and present data for executive decision-making.

  • Maintain and update key databases, ensuring accuracy and completeness.

  • Project Assistance:

  • Support executives in various projects, coordinating tasks and timelines.

  • Conduct research and compile information to assist with strategic initiatives.

  • Event Planning:

  • Assist in planning and coordinating corporate events, client meetings, and special projects.

Requirements

  • Experience: Minimum of 3 years of experience as a personal assistant or executive assistant supporting multiple C-Level executives, preferably in a luxury automotive or high-end retail environment.

  • Education: High school diploma at least two years of college preferred

  • Valid driver’s license

  • Advanced proficiency in Microsoft Office Suite and/or Google Workplace (formerly G-Suite), for creating and editing spreadsheets, PowerPoint presentations, etc.

  • Windows Computer knowledge, Apple device knowledge.

  • Able to work in an environment with many moving parts and people.

  • Exceptional organizational and multitasking abilities.

  • Excellent organizational and time management skills

  • Strong verbal and written communication skills.

  • High level of attention to detail and accuracy.

  • Ability to maintain confidentiality and exercise discretion.

  • Familiarity with office machines, gadgets, how to work them, etc.

  • Ability to exercise discretion and maintain confidentiality.
