GENERAL STATEMENT OF RESPONSIBILITIES: The primary responsibility of this role is to provide administrative support to the Director of Nursing Education in conjunction with other functions of the Office as required. The ability to interpret & respond to varying situations & inquiries & to provide the appropriate assistance &/or recommendation for the public, College community, & office unit is essential. The ability to be self-directed & to demonstrate attention to detail are required in day-to-day office operations. The responsibilities of this role require an in-person (on campus) work schedule. EXAMPLES OF DUTIES: Provides administrative support to the Director of Nursing Education, including preparing correspondence, calendar management, scheduling of appointments, meetings, & events for the Director; attends meetings as requested, & provides follow-up meeting notes & minutes. Responsible for general day-to-day office administration & supervision. Develops working plan in conjunction with the Director of Nursing Education to accomplish projects. Maintains confidentiality of student records & information in accordance with FERPA regulations. Assists in the preparation & distribution of the Nursing Program Student Handbook. Assists in the preparation & distribution of Nursing Program reports & surveys to program licensor (BORN), program accreditor (ACEN), program professional affiliation (NLN), & other such organizations as required by the Program & College. Schedules, organizes & attends Nursing Program meetings & Advisory Board meetings; records, transcribes, & distributes meeting minutes. Maintains copies & renewal schedules of affiliation agreements with clinical sites. Confers with College staff & faculty in order to exchange information, coordinate efforts, & obtain information concerning College programs & activities. Maintains statistics records for Nursing Program & reports out as needed by Director. Controls & maintains department physical & digital files, records, reports, & correspondences. Communicates with key personnel to maintain & update Nursing Program web pages & assists in the communication of relevant program information for the general public. Monitors & communicates with students regarding documents for program eligibility (i.e. CORI/SORI, Immunizations) in conjunction with other college departments. MINIMUM QUALIFICATIONS: Three years of full-time or equivalent part-time experience in office management, office administration, business administration or business management, or any equivalent combination of the required experience & the following substitutions: Knowledge of FERPA regulations & College policies & procedures or the ability to read & interpret such. High level of organizational & communication skills, flexibility, & the ability to work under pressure to meet deadlines with attention to detail & accuracy & handle multiple tasks simultaneously Knowledge of Windows-based software & PC functions. Advanced experience with Microsoft Word, Excel, & PowerPoint, or equivalents. Advanced experience with desktop publishing products such as Adobe Acrobat Pro DC. Experience with videoconferencing platforms such as Zoom, Microsoft Teams, or a similar system. Experience accessing data & running queries using the Student Information System. Experience with Jenzabar or similar student enterprise system. ADDITIONAL PREFERRED QUALIFICATIONS: Bachelor\'s degree. Experience in a fast-paced, health care or health sciences office environment. Experience working in a community college setting.
