AvantGarde, LLC Senior Administrative Assistant in Washington, District Of Columbia

Avantgarde, LLC (AG) seeks to engage a Senior Administrative Assistant supports the AG client on site at the United States Capitol Police (USCP) in SW Washington, DC with support the operational functions of the EAP Division, including administrative duties as directed by the Lead EAP Specialist or Wellness Director, or at the request of EAP Specialists. The Senior Administrative Assistant will be responsible for greeting and assisting employees in person or by telephone, scheduling appointments, maintaining records, and responding to inquiries. This is onsite with 1 day per week telework.

The WORK

  • Facilitate the intake process for EAP customers.

  • Enter employee information into the appropriate EAP system to initiate the case and document comments and information thoroughly and professionally.

  • Team Member Support - Receive calls transferred from counselors and provide immediate employee assistance.

  • Assist EAP team members with the necessary resources to effectively respond to employee inquiries and requests for services and referrals.

  • Communicate effectively with all internal and external stakeholders, orally and in writing.

  • Utilize relevant EAP databases and websites to research and identify validated, appropriate employee resources.

  • Manage Time and Attendance and office calendar for EAP staff.

  • Serve as a liaison with the OCAO and OHR staff as needed.

  • Monitor compliance with USCP/EAP policies and standard operating procedures.

  • Protect the confidentiality of employee information and adhere to EAP and HIPPA requirements.

  • Provide miscellaneous support functions including administrative support, follow-up calls, and other duties as assigned.

  • Coordinate Fitness for Duty meetings with relevant stakeholders.

  • Draft EAP correspondence.

The REQUIREMENTS

  • High school diploma required; post-secondary education or experience in psychology, social work, or counseling preferred.

  • Excellent internal and external customer service skills.

  • Professional demeanor and the ability to communicate and interact/relate to a diverse group of people including Executive Management, Senior and Mid-level managers, employees, and outside resources.

  • Ability to determine the purpose of a call by actively listening and interacting with callers, and triage call in a professional and timely manner to appropriate EAP services and/or resources.

  • Ability to recognize a mental health crisis situation and evaluate the need for immediate intervention and/or referral to minimize risk.

  • Knowledge and use of Microsoft Office Suite, and ability to use widely supported Internet browsers.

  • Must be willing to work onsite, full-time, in Downtown DC with 1 day per week telework.

  • Must be able to report for work between 7:00 am and 6:00 pm, with occasional need for additional duty as requested and authorized.

  • The position may exceed 1 year.

  • Must be able to obtain a Public Trust Clearance following USCP’s fingerprint/criminal background check process, which is unique to USCP.

  • Operate a PC in an office environment in a primarily sedentary position.

  • Some bending, light lifting and carrying of equipment may be required.
