The overall purpose of this role is to provide comprehensive administrative support to the business area, particularly with regards to diary and travel management, meeting coordination, and expense preparation. The impact they will have on the business area includes improving organizational efficiency, ensuring timely and accurate communication, and promoting a positive work environment. Additionally, by maintaining efficient office systems and providing support to all employees, this role will contribute to the smooth operation of the business area and the overall success of the organization.
A Day in the Life
Providing general administrative support including preparing communications, maintaining schedules, assisting with onsite meetings when required
Supporting in Diary & Travel Management, as well as Meeting Management & Logistical Support
Helping with Agenda Preparation, Minute Taking & Action Planning
Assisting with Expense Preparation
Supporting with Vendor Creation, PO Creation & Invoice Payments for administration
Checking and making minor adjustments to work methods to solve problems that are routine and typically exist in current work processes and systems
Liaising with facilities management office to ensure safe and comfortable office environment where required.
Devising and maintaining office systems to deal efficiently with paper flow.
Organizing and storing paperwork, documents and computer-based information
Assisting all the employees with general ad-hoc administrative, preparing meeting and training rooms amongst others where relevant
Must Haves
Currently studying a higher education degree
Based in Warsaw, Poland
Proficiency in Polish
Upper-intermediate/B2 level in English
Good knowledge of MS Office
Independent and creative
Open-minded
Great communication skills
Eager to learn & develop
Very good attention to details

Working time: from 24-40 hours per week
