Closing Assistant I - Hybrid

Job summary:

Provide back office escrow support to the field closing teams by means of efficient, consistent, quality and compliant procedures. Assists Escrow Closer(s) with timely processing of the real estate transaction closing file.

Duties include, but are not limited to:

  • The communication and documentation of title order entry, sales contract requirements and title clearing issues.

  • Receive and review sales contracts.

  • Check system for prior orders, enter order and set up escrow file in computer.

  • Generate and mail out seller letters.

  • Order payoffs.

  • Order Closing Protection Letters (CPLs).

  • Check for active Home Association assessments.

  • Review file and obtain applicable information for taxes, sewer fees, water bills, etc.

  • Confirm commission due, earnest money and seller concessions (i.e. Home Warranty, Closing Cost Credits or bills to be paid at closing by buyer or seller).

  • Review title commitment for requirements and collect necessary information (Trusts, Power of Attorney, etc.) to be reviewed and approved by the legal departments.

  • Order survey as directed.

  • Deliver title commitments and/or survey to all necessary parties. Utilize tracking and status updates in company software program (iClosings Direct).

  • Scan and upload documents as directed.

  • Purge files when completed.

  • Greet internal/external customers in a pleasant manner and direct their needs.

  • Answer daily incoming calls.

  • Take accurate messages.

  • Sort mail.

  • Assist with pre-closing and post-closing matters as needed.

  • Other projects upon request.

  • Reliable, consistent attendance is a requirement and essential function of all positions at U.S. Title.

Qualifications:

  • Education – High School Diploma, GED or equivalent work experience is required.

  • License of Certification – Missouri Department of Insurance licensing or ability to meet the requirements for Missouri Department of Insurance licensing is required.

  • Subject to required statutory continuing education requirements.

  • Special Skills – Must have excellent customer service skills with both internal and external customers.

  • Demonstrate aptitude to work collaboratively with others from diverse backgrounds, cultures, and viewpoints.

  • Requires ability to work independently and/or within a team structure.

  • Must also have ability to recognize the need to escalate matters when necessary.

  • Positive, clear communication skills and strong organizational and time management skills.

  • Ability to work in fast-paced organization with willingness to adapt quickly.

  • Should possess good telephone and general computer skills. Proficient with Microsoft Office products is preferred.

  • Work Experience – Previous work experience in a professional office environment preferred.

  • Prior knowledge and work experience with escrow closings and/or Title Company is preferred.
