As the Grant Administrator, you will be responsible for the pre-award management of a large and diverse portfolio of federal and non-federal grants, contracts, and sub-awards, supporting the work of the faculty and research staff with the major research centers and institutes of Heller. Rooted in a deep and continuously-updated understanding of all federal regulations concerning sponsored project activity and institutional compliance responsibilities to sponsors, you will serve as the primary liaison between the central University grants office and principal investigators and research teams. Key Responsibilities: Heller Pre-Award Office Function & Oversight Works closely with administrators, PIs and researchers in the development, preparation, and submission of grant and contract proposals: Obtains and reviews sponsor guidelines for all proposals; advises the PI on administrative requirements in preparing proposal submissions. Coordinates and reviews certain proposal elements (biosketches and facilities & resources) for consistency, accuracy, and completeness. Reviews proposals for consistency with sponsor guidelines on budget, format, font size and page limits, etc., excluding narrative content. Works closely with the PI to develop budgets and budget justification, ensuring accuracy. Reviews budgets for consistency with sponsor requirements; monitors for compliance with agency and University guidelines; verifies all financial information, including institutional salaries, fringe, indirect rates, etc. for the project. Ensures all applications meet sponsor and institutional guidelines and published time tables and deadlines, including management of the Just-In-Time process. Confers with PI and pre-award support staff at collaborating institutions to secure necessary sub-awards documents for proposals. Closely liaises with the Office of Research Administration during the proposal development process and ensures proposals are entered in the Heller database and routed to the Office of Research Administration in accordance with all deadlines for final institutional review and approval prior to submission. Monitors and facilitates the proposal routing process in compliance with University procedures Policy & Operational Develops an in-depth and expansive knowledge of external sponsor regulations and requirements and stays fully abreast of all proposed changes in federal and state regulations and laws affecting sponsored programs, including the Federal Acquisition Regulations, the Code of Federal Regulations and state and institutional policies and reporting requirements to ensure continued compliance. Provides guidance regarding the interpretation of regulations, laws, and policies to investigators and researchers throughout the proposal development process. Contributes to the development of internal materials, forms and procedures, manuals/instructions to support the functioning of the Heller Pre-Award team and research enterprise. Collaborates with the Heller Post-Award team, the Office of Research Administration, other departmental pre-award offices, Sponsored Program Accounting and other academic and administrative offices throughout the university on crosscutting issues involving proposal submission and awar negotiation,
