Vanderbilt University Grant Manager, Engineering Deans Office (Remote) in United States

The Grant Manager will be a member of a newly formed grant administration team supporting one or more departments/institutes in the School of Engineering (VUSE) at Vanderbilt University. The ideal candidate will have a strong working knowledge and understanding of both pre- and post-award grants management, a firm grasp of grant rules and regulations, strong analytic skills, ability to work in a fast-paced environment and meet competing deadlines, an understanding of school and institutional policies and procedures, and agility with changing responsibilities and priorities.

The Grant Manager position is pre-award focused but some post-award responsibilities may be required. As one of a team of four, this full-time position will collaborate with departmental/institute grant managers to provide grant administration support to one or more units during periods of major deadlines, for large grant submissions, and during departmental position vacancies and PTO. They will also support the school’s Senior Director for Grants and Contracts for school level grants administration tasks.

The School of Engineering is comprised of six academic departments and two institutes, all of which are involved in internationally recognized research. The school has experienced recent rapid growth in the number of faculty and as a result has a need to provide additional grant administration support. This position is hybrid.

Relocation to Nashville is strongly preferred, but remote work with occasional travel may be possible, on a case-by-case basis.

Duties and Responsibilities

Pre-award responsibilities may include:

  • Provides policy guidance and assistance with all aspects of proposal development, administrative forms, sponsor-required certifications and representations, and compliance requirements.

  • Develops appropriate budget

  • Works directly with the Principal Investigators & collaborators, and will interface with central administrative offices to ensure that the applications meet all university, school and sponsor requirements

  • Performs application submission, ensuring deadlines are met

  • Responds to sponsor requests and questions

  • Performs other duties as assigned

Post-award responsibilities may include:

  • Creates budget reconciliation and forecasting reports, and uses these reports to meet regularly with faculty to review their financial situations.

  • Reviews and approves all expenditures

  • Ensures compliance with requirements such as effort reporting, financial & progress reporting

  • Completes timely journal entries as necessary, grant closeouts, etc.

  • Performs other duties as assigned

Qualifications

  • A bachelor’s degree is required with a degree preference in finance, accounting, or business.

  • 3+ years of experience in pre- and post-award management experience (both federal and non-federal) is required. A combination of education and experience may be considered.

  • Problem solving skills and ability to be flexible required

  • Strong administrative support skills

  • Excellent organizational and time management skills

  • Excellent written and verbal skills

  • Outstanding attention to detail

  • Experience working with investigators on the management of complex research awards and working with a variety of sponsors

  • Intermediate Excel skills

  • Advanced working knowledge of research compliance issues & of key federal grant regulations
