What We Want
We are seeking an Executive Assistant II who will provide executive-level administrative support to the Associate Vice President for Research (AVPR), Centers and Institutes Management and AVPR, Strategic Initiatives; manages respective databases; manages committees associated with each AVPR; and provides general administrative support. The incumbent must be able to exercise discretion and independent judgement with respect to matters of significance. The preferred candidate will have a bachelor’s degree, Texas A&M University System experience and professional experience in research administration/higher education setting. Qualifications
Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience.
Four years of experience in office administration.
Required Knowledge, Skills, and Abilities:
Excellent verbal and written communication skills required.
Must have good organization skills and the ability to manage multiple projects.
Must have strong interpersonal skills and the ability to work under deadlines.
Customer service skills, analytical, critical thinking, collaborative, excellent time management, organized, detail-oriented, maintains confidentiality.
Ability to multi-task and work cooperatively with others.
Ability to cultivate and maintain professional working relationships with people of complex backgrounds.
Knowledge of Office 365, Microsoft Teams, Microsoft applications including Outlook, Word, Excel, Access, PowerPoint, Visio, WordPress, Zoom.
Preferred Qualifications:
Bachelor’s degree.
Texas A&M University System experience preferred.
Professional experience in research administration/higher education setting.
Responsibilities
Administrative Support for AVPR Strategic Initiatives- Provides high level of administrative support to AVPR Strategic Initiatives in establishing processes and metrics. Maintains high-level interactions with the campus community and will assist with highly confidential and critical administrative matters. Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel arrangements and itineraries, prepares expense reports. Compiles reports, maintains records, and other documents, and coordinates special events. Evaluates documents submitted for administrator’s signature. Plans and prepares reports, manuals, and publications. Research, compiles, and applies information, making evaluative judgments on appropriate data to use. Interprets and implements policies, rules, and regulations. Provides support for committees convened by the AVPR. Coordinates and monitors action items and assignments made by the administrators.
Administrative Support for Associate Vice Presidents for Research/Centers and Institutes Management- Provides executive-level administrative support to the Associate Vice President for Research (AVPR)s Centers and Institutes using discretion and independent judgement. Manages Centers & Institutes database. Responsible for Research Development Fund (RDF) program administration. Maintains high-level interactions with the campus community and will assist with highly confidential and critical administrative matters. Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel. Prepares travel arrangements and itineraries, prepares expense reports. Maintains a list of Board of Regents approved centers and institutes. Assists in communications with center and institute directors and the Center and Institute Directors Council (CIDC). Acts as administrator’s representative in dealing with third parties. Collects and files center and institute reports. Assists in the creation of new centers and institutes. Assists the AVPR with the management of core facilities. Coordinates the meetings of the Executive Advisory Council on Core Facilities (EAC-CF).
Special Projects- Coordinates with AVPRs and Program Manager for special projects as assigned. Will process and analyze data, prepare presentations, create surveys, analyze responses, perform data analysis in association with special projects.
Events, Workshops- Plans and coordinates logistical and administrative support for events, and workshops, or other special functions and provides on-site support.
