Job summary:

This position will work closely across the assigned management team to proactively manage all day-to-day tasks required

to support effective operations and achieve company goals, ensuring activities are completed accurately and on time,

across all areas of accountability.

Essential Duties/Responsibilities: May include any of the following (based on location/function)

• Provide administrative support for meeting facilitation, coordination, calendar entry/maintenance and note-taking,

across assigned groups.

• Maintain and update calendar entries, serving as gatekeeper to relevant stakeholders and assisting in the

prioritization of calendar commitments, as requested.

• Generate and distribute standard reports in accordance with operating procedures

• Support compliance and/or legal matters in accordance with management direction (i.e. Health & Safety, Legal,

Human Resources, etc.)

• Maintain relevant business/functional systems including shared drives, Community Webpages, Connections, etc.

• Manage the office supply and/or break room inventories.

• Receive, sort and distribute incoming mail/packages.

• Create and submit expense reports and purchase orders as requested.

• Provide support to facility visitors, including assisting with travel accommodations as requested. May also

manage the employee badge system, issuing new badges in accordance with procedure and maintaining

appropriate records.

• Facilitate site communication by sending requested site-wide emails, updating site noticeboards, maintaining

accurate internal phone lists, supporting switchboard operations, coordinating the site calendar and daily power

point display/visitors phone book.

• Manage the company car by tracking usage, ensuring the car is cleaned regularly and that users are approved to

use the car and car usage is logged

• Serves as site representative for the Communications Advisory Committee and/or Site Activities Committee.

Required Minimum Qualifications:

Education/Certifications:

High school diploma or GED required (or regional equivalent). Associate’s degree in Business or related discipline

preferred.

Skills and Experience

• Ability to prioritize across a diverse workload requests, maintaining accuracy and efficiency across all task

required.

• Preference given to candidates with previous administrative roles and/or Executive Assistant experience

• Must display confidence in dealing with all levels of management, as well as excellent interpersonal and

communication skills.

• Ability to prioritize workload and use initiative to look for continuous improvements required

• Proficient user of most Microsoft applications including Excel, Word and Powerpoint. Preference given to

candidates who have worked within SAP and/or similar ERP environments.
