Accounts Payable Administrator (Part-Time) | Venice, FL
Responsibilities
Reach out to vendors to obtain their W-9 and their preferred payment method, address, etc. If ACH is their preferred method, have the vendor fill out the required form.
AP fills out our validation form and reaches out to vendors to perform verbal validation of banking information.
Set up new vendor profiles, addresses, and banking information in Oracle.
Reach out to vendors to switch from credit card to ACH. Form needs to be filled out prior to calling for validation; once confirmed, set up in Oracle.
Reach out to current vendors to switch from check to ACH. Form needs to be filled out prior to calling for validation; once confirmed, enter the setup in Oracle.
Go over mail with the AP Manager and scan mail to AP email.
Reach out to vendors to switch from mailing their invoices to emailing their invoices.
Prepare UPS labels and put together UPS envelopes for mail as needed.
Mail out AP checks weekly with support where applicable and print member referral letters.
Mail out rent checks monthly.
Order blank MICR checks, check envelopes, and stamp paper when needed.
Buy stamps and place them on envelopes for check mailing as needed.
Manage the stamp log; fill out when other departments ask for stamps.
Prepare 1099s; ensure we have W-9s for all vendors receiving a 1099, update in Supplier Profile in Oracle working with the AP Manager.
Switch EE reimbursements from check to ACH.
Work closely with the AP Manager to go over daily tasks, deadlines, goals, and to provide support to the AP department.
Attention to detail is a must.

Previous experience with computer applications such as Microsoft Word, Excel, and PowerPoint, and any other related accounting software
Additional Skills & Qualifications
Bachelor's degree in accounting or related financial discipline required
0-2 years of financial and/or accounting experience required
Oracle system software knowledge is a plus
Ability to multi-task
Work Environment
Part-time hours (will work out with management). 3 days a week onsite at our client's office.
Pay and Benefits
The pay range for this position is $15.00 - $19.00/hr.
