The Vancouver Fraser Port Authority is responsible for the stewardship of the Port of Vancouver, Canada’s largest and most diversified port. Our mandate as a Canada Port Authority, as set out by the Canada Marine Act, is to enable Canada’s trade objectives, ensuring goods are moved safely and responsibly through the Port of Vancouver. That means providing infrastructure and ensuring the safe and efficient movement of marine traffic and cargo within the port. It also means we carry out reviews of proposed activities and developments on federal port lands and waters to determine whether a project can go ahead without impacts to the environment and community that cannot be mitigated.

As the Casual Office Assistant , you are responsible for performing bilingual reception and switchboard duties while supporting office administration by greeting visitors, receiving all incoming couriers and mail and disbursing according to process and procedures. You will also maintain office equipment including photocopiers, faxes, and coffee machines, ordering and organize storage of office stationery and standard office supplies and to assist departments with departmental orders of office supplies through the corporate vendors.

What you do:

  • Greets and assists visitors to VFPA. Operates switchboardensuring prompt, accurate and courteous attention in relaying and transferringcalls. Accepts and communicates messages accordingly. Redirects calls tovoicemail as requested.

  • Receives and replies to queries from general public andvarious agencies. Provides information within scope.

  • Registers visitors and issues temporary security passes inaccordance with processes and procedures.

  • Maintains the reception email and re-directs enquiries asneeded.

  • Distributes and keep safe corporate vehicle keys and fuelcards per process.

  • Makes miscellaneous office purchases with purchasing cardas required.

  • Monitors thecorporate bus ticket program and restock tickets as required.

  • Receives all incoming mail and deliveries and performstasks associated with distribution of such to staff. Handles all outgoing mail.

  • Places orders for courier services.

  • Assists departments with processing required documentationfor out of country shipments. Office supplies

  • Ensures the office supply room is tidy and organized withan adequate amount of office supplies and stationery.

  • Fill out online purchase requisitions for orderingsupplies through corporate vendor, and delivers or unpacks and shelves suppliesreceived. Verifies packing slips to goods received to ensure the billing isaccurate.

  • Maintains all photocopiers and fax machines at VFPA andcalls for service when required. ·Maintains coffee machines and call for service when required.

What you bring:

The successful candidate will possess a high school commercial graduation diploma with a minimum of six months of related experience, including completion of receptionist/telephone technique training. The candidate will have good keyboarding skills and personal computer proficiency in software applications such as MS Word, Excel, and Outlook, along with the ability to operate contemporary office machines. The ability to speak French fluently is an asset.

Must have demonstrated experience with the following:

  • Excellent verbal and written communication skills.

  • A courteous and pleasant telephone manner, with the abilityto communicate tactfully and positively with all contacts, both internal andexternal.

  • Being a team player with excellent interpersonal andorganizational skills along with the ability to maintain accurate and timelywork output.

  • Being flexible and adaptable to meet a variety of workingconditions.

  • Excellent organizational skills with the flexibility toperform multiple tasks and meet deadlines are required.

  • Proven diagnostic, problem solving, team skills areessential, along with an excellent "customer service" approach.
