Led by the Chief Financial Officer, Brookhaven's Business Services Directorate includes the Budget Office, Fiscal Services Division, Procurement & Property Management Division, Chief Financial Office, and the Business Operations Offices. The Directorate manages a broad range of financial activities, including the planning and implementation of the Lab's fiscal matters and its approximately $700 million annual budget.Position Description The Business Services Directorate (BSD) has has an opening for an Assistant Business Specialist position within the Environment, Biology, Nuclear Science and Nonproliferation (EBNN) and Advance Technology Research Office (ATRO) Business Office. This individual will report to the Business Operations Manager that currently oversees the EBNN Directorate and ATRO Business Office.Essential Duties and Responsibilities:- Assist business office staff in providing support to various functions within the EBNN and ATRO financial responsibilities: - Serve as EBNN and ATRO organizational contact for Property Management which includes: - Process Master Property Records on a timely basis; - Verify property file for accuracy and make necessary changes to the property system; - Process paperwork for any movement of equipment outside the organization; - Process paperwork for Employee Long Term Property Passes and Loans for outside organizations; - Notify the Property Management Section of any untagged and unverified information; - Process necessary paperwork to retire property assigned to the organization; - Report loss, destruction, or damage of equipment to the Property Manager and participate in investigations; - Participate in property and precious metals inventory on an as-needed basis; - Ensure that employees who are assigned property promptly report a known theft of property to BNL Laboratory Police and the local Police Department if the theft occurred off site. - Assist the business office staff in a support role for the EBNN and ATRO area: - Coordinate FWP submission within the Business Operations Office, which includes: - Coordinating the FWP Master List with the Department Admins and the Budget Office; - Verifying the accuracy of the FWP to the standard forms and format. - Process closing of all EBNN and ATRO Projects by ensuring that telephones, commitments, and items of bar coded equipment have been moved to appropriate projects. This includes obtaining the property certification memo required for projects. - Act as the reminder for all credit card holders to ensure transactions are charge appropriately. - Serve as the Records Manager and Telecom Services Representative for this area: - Coordinate inventory of records; - Act as liaison between Office of Records Management staff and their organization for records management questions and requests; - Prepare and submit requests for telephone installations or adds, moves, and changes within the department.- Adhere to all BNL business rules, allowable cost monitoring, and compliance.- Operating in a team environment, remaining flexible with assignments, while serving in a diverse and international population.Position Requirements Required Knowledge, Skills, and Abilities:- Bachelor's degree in accounting, finance/business or directly related field or equivalent experience based on 2:1 (experience:college) years.- Microsoft Office tools including Excel.- Clear, concise, professional communication and interpersonal skills.- Applies independent judgment that demonstrates ability to effectively prioritize and meet deadlines.- Able to identify and resolve issues encountered within own area of responsibility.- Ability to establish routine contacts and provide detailed and complex information that will be used to make decisions of business consequence.- Ability to perform in a fast paced enviroment.- Should be a flexible team player who will successfully interact with both the scientific and business staff and will be motivated to assist Business Operations Manager as requests arise.Preferred Knowledge, Skills, and Abilities: *- Entry level position although previous experience preferred.- Familiarity with PeopleSoft and the ability to generate queries and reports.- Extensive knowledge of the Laboratories Financial system, policies and procedures.Other Information:*At Brookhaven National Laboratory we believe that a comprehensive employee benefits program is an important and meaningful part of the compensation employees receive.
