JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office of Undergraduate Students in the Eberly College of Science seeks a student-focused, team-oriented experienced administrative professional to apply for the position of Academic Program Coordinator, which includes the position of college records coordinator. This position will report to the Senior Support Assistant. As the records coordinator, they will work closely with the Assistant Dean of Undergraduate Students and serve as liaison between the registrar’s office and the departments within the Eberly College of Science. Primary responsibilities include but are not limited to.

  • Responsible for the day-to-day administrative operations of the office and supervision of two academic program coordinators.

  • Manages assistant dean’s calendar, schedules meetings, and arranges travel. Compiles and organizes data, agendas, and other meeting materials for committees chaired and/or attended by the assistant dean. Processes requests for letters of recommendations, transfer college requests, and internship recommendations.

  • Works closely with the assistant dean to identify and organize opportunities for student engagement.

  • Monitors budget for the Office of Undergraduate Students, approves expenditures, and generates financial reports for the assistant dean.

  • As records coordinator, communicates policy and procedure information related to student records to college faculty, staff, advisers, and students. Responds to inquiries and refers as appropriate.

  • Monitors student records and graduation requirements, reviews degree audits to ensure accuracy of degree requirements. Enters approved degree audit substitutions and exceptions.

  • In coordination with the director, academic advising and department staff, reviews requests for re-enrollment, change of major, concurrent major, and change of campus requests. Approves or denies as appropriate.

  • Processes Grade Forgiveness, Course Repeats, and Prerequisite Override Requests in accordance with respective AAPPM and Faculty Senate policies.

  • Processes grade change forms, credit by exam, and add, drop, and registration forms.

  • Reviews and submits Faculty Senate Petitions.

  • Serves as commencement coordinator for the college, coordinates the planning and staffing details for the spring undergraduate commencement ceremony. Drafts and prepares commencement script and the commencement program, serves as point of contact for the undergraduate commencement speaker and alumni representative, communicates commencement ceremony details and instructions to faculty, staff, advisers, and undergraduate students. Works closely with the college’s data analyst to distribute the senior exit survey and monitors response rate. Coordinates graduation/commencement packet distribution in the spring semester. Submits and tracks regalia orders for Eberly College of Science faculty and staff attending the spring, summer, and fall commencement ceremonies.

In addition to being student-focused and team-oriented, the ideal candidate must be highly motivated, exhibit a high degree of professionalism, have strong communication, interpersonal, and organizational skills to help support and grow the programs that are vital to student success within the Eberly College of Science and support the college’s commitment to diversity, equity, and inclusion.

Consistent high quality and thorough work is critical and must be able to work with minimal supervision and exercise discretion and independent judgment. This position requires in-depth knowledge of undergraduate policies and procedures and student records processes.

Experience with LionPATH, SIMBA, SAP Concur, WorkLion, CollegeNet, and MS Office Suite is preferred.

This position requires an associate degree and a minimum of 4+ years of experience or an equivalent combination of education and experience.

The salary range for this position, including all possible grades is:

$46,400.00 - $67,300.00
