ARCHIVIST/RECORDS KEEPER

Pursuant to Article IX, Promotions and Transfers, Section 2, Posting of Vacancies, we are hereby listing the job of Archivist/Records Keeper.

          The qualifications for said job are attached hereto and mare a part hereof.

          The starting rate is $15.32 hourly ($29,874.00 annually.)

OVERALL OBJECTIVE OF JOB

The Archivist/Records Keeper will work to strategically implement a plan to identify, preserve, and provide access to the records of Fayette County Government in alignment with the County's records improvement initiatives and in compliance with policies and laws of the State of Pennsylvania. The Archivist/Records Keeper will apply their skills in archival standards and best practices to optimize the management of County records at all stages of their life cycle, with special emphasis on permanent records in all formats.

ESSENTIAL FUNCTIONS OF JOB

  1. Ensures compliance with retention requirements and policies for permanent County records from creation to archiving.
  2. Responsible for the proper maintenance and preservation of permanent County records in all formats (paper, digital, etc.)
  3. Responsible for scanning all hard copy documents and utilizing the company's digital filing system.
  4. Ensures all required hard copy documents in the County get scanned into a digital format as specified in the standard operating procedures.
  5. Responsible for accepting digital documents and distributing them to the proper people.
  6. Retrieves and transports records to and from the Records Center office and other county offices.
  7. Maintains inventory lists of records and charge-out systems in the Records Center.
  8. Labels film and other storage boxes and assists other offices in preparing records for storage; prepares storage boxes for disposal.
  9. Identify and implement records management policy and procedures, which include archives database use for inventorying and requesting files.
  10. Works with County Commissioners and Records Committee to develop and manage collection preservation and protection programs and protocols.
  11. Monitors security and environmental stability of areas in which records are stored in all County properties.
  12. Responsible for evaluating the physical condition of records, papers, taking preservation action to stabilize their condition.
  13. Instructs volunteers and court ordered community service workers within the department.
  14. Interacts with County offices and outside facilities in regard to work duties.
  15. Archivist will follow the *Standard Operation Procedures* **that have been attached to this job description.

     

QUALIFICATIONS

EDUCATION/TRAINING

High school graduate with minimum of 6 months records management experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.

WORK EXPERIENCE

Two (2) years of working experience in maintaining a filing/record keeping system and ability to scan and organize records.

REQUIREMENTS

Must possess a valid Driver's License to transport files to and from multiple buildings.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  1. Must be able to speak and understand the English language, and to follow oral and written instructions.
  2. Must possess initiative and proble -solving skills in regard to storage methods and techniques.
  3. Must possess the ability to function independently, have flexibility, and personal integrity, and the ability to work effectively with other Departments within the County.
  4. Must possess the ability to maintain confidentiality regarding client information and records.
  5. Must possess technical knowledge of operating personal computers, microfilm, scanners, and other office equipment.
  6. Must possess the ability to make independent decisions when circumstances warrant such action.
  7. Must possess knowledge of modern office practices and procedures.
  8. Must possess knowledge of federal, state, and local record keeping principles, practices, and laws regarding maintenance of various types of records and files.
