Position Overview:\ RGroup Realty is searching for an experienced and motivated Lead Maintenance Coordinator to oversee maintenance operations across our portfolio of residential properties. This position requires expertise in property management software, specifically Appfolio, to efficiently manage maintenance requests, communicate with property owners and tenants, and coordinate with vendors. The Lead Maintenance Coordinator will play a critical role in balancing cost-effectiveness for property owners with tenant satisfaction, ensuring maintenance issues are resolved promptly and effectively.

Key Responsibilities:

Maintenance Operations Management:

Lead daily maintenance operations for a portfolio of residential properties, ensuring that all service requests are handled efficiently.

Vendor Coordination:

  • Oversee and collaborate with vendors to ensure timely and quality completion of service requests, maintaining high standards of service.

Appfolio Utilization:

  • Use Appfolio software to manage maintenance requests, track work orders, and facilitate communication with both tenants and property owners.

Tenant Relations and Issue Resolution:

  • Address tenant concerns promptly, delivering a high level of customer service to resolve issues and maintain tenant satisfaction.

Cost Management and Collaboration:

  • Work closely with asset managers to minimize costs for property owners while upholding tenant satisfaction.

Regulatory Compliance:

  • Ensure compliance with state and local property management laws, regulations, and best practices.

Recordkeeping and Reporting:

  • Maintain detailed and accurate records of all maintenance activities and expenses for transparency and reporting.

Stakeholder Communication:

  • Act as a liaison between tenants, property managers, and vendors to ensure smooth communication and issue resolution.

Disposition Timeline and Closeout Activities:

  • Guide vendors and property managers through disposition timelines, completing closeout tasks in accordance with Arizona Department of Real Estate standards.

Process Improvement and Industry Knowledge:

  • Stay updated on the latest property management technologies and trends, continuously refining processes to improve operational efficiency.
