Description

We are a well-established Construction/Consulting Firm with over 20 years of experience in the industry. Based in the vibrant city of Tucson, Arizona, Marana area, we are proud to partner with major players in our field, offering top-notch services and expertise.

Position Overview:

We are seeking a dedicated full-time Bookkeeper/Office Assistant to join our dynamic front office team. This role presents an excellent opportunity for entry-level candidates to gain valuable real-world experience and grow into a future Office Manager position within our organization.

Responsibilities:

  • Manage incoming calls and handle sales inquiries with professionalism.

  • Input tags into the accounting system for accurate record-keeping.

  • Maintain timekeeping program and relevant information.

  • Organize and update job information folders efficiently.

  • Prepare weekly invoices and process accounts payable, including bank deposits.

  • Assist in creating new hire packages and maintaining personnel files.

  • Support management with weekly and monthly reporting.

  • Perform monthly account reconciliations for financial accuracy.

  • Provide assistance to management staff in daily operations.

  • Aid General Manager and Superintendent with purchasing requests and plan distribution.

  • Occasionally assist in delivering items to the job site as needed.

  • Assist in gathering information and preparing proposals and estimates.

  • Keep office and construction handbooks updated.

  • Assist in the preparation and documentation of safety meetings.

  • Maintain updated information for insurance purposes.

  • Collect and verify codes on bills and input into the accounting system.

  • Manage timecards and paperwork for new hires and subcontractors.

  • Handle ordering office supplies, and maintenance of office equipment.

  • Maintain and update equipment inventory.

  • Conduct online research for hardware selection from plans.

  • Perform general filing, faxing, and emailing tasks.

  • Ensure cleanliness and organization of the office space at all times

    Requirements

  • High school diploma or equivalent; additional qualifications in accounting or office administration are a plus.

  • Prior experience in a similar role preferred but not required.

  • Strong attention to detail and organizational skills.

  • Excellent communication and interpersonal abilities.

  • Proficiency in Microsoft Office Suite and accounting software.

  • Ability to multitask and prioritize tasks effectively.

  • Willingness to learn and adapt in a fast-paced environment.
