Job Description

Position Summary: Provide support to the Assistant Director of CFTSS/CMHRS coordinating secretarial and administrative support. Provide secretarial support to all residential and programmatic staff.

Primary Duties and Essential Functions:

  • Assists the Assistant Director of CFTSS/CMHRS in processing of admissions and discharges in the CFTSS program.

  • Responsible for secretarial duties including: screening referrals to ensure they meet minimum criteria for admission into the CFTSS program, entering referrals and referral information (i.e. demographic information, medical necessity) into AWARDS, running initial Medicaid eligibility, scheduling service intakes with families for and other office duties as requested or assigned.

  • Run reports in AWARDS with program information and statistics.

  • Oversees treatment plan review schedule, receipt of one-time medical necessity form, and annual consents for services.

  • Organizes materials in preparation for meetings and conferences.

  • Manages multiple tasks and brings these to successful conclusion. Shifts priorities as needed.

  • Maintains information and documents in a confidential manner.

  • Oversees and maintains computers and information systems.

  • Acts as a resource to other agency personnel in the area of office management.

  • Prioritizes daily correspondence.

  • Responsible for receiving incoming telephone calls to office and directing as needed.

  • Proficiency in the use of Windows, Access, Excel, Microsoft Office and word processing programs including: Word, Word Perfect. Conscientious of details and instills this in others.

  • Seeks to improve skills by further education self- development practicing growth and change. Provides accurate and timely services with respect and professionalism. Completes assignments as required with established parameters. Ability to be self- directed and a self-starter

  • Provides support to the CFTSS program and practices open communication and social responsibility.

Requirements

Required Education, Knowledge and Skills:

  • High School diploma. Preference of further education in secretarial sciences. Previous supervisory experience in an office environment.

  • Intermediate skills in Microsoft Word and Excel.

    Abilities and Working Conditions:

  • Must be able to lift 25 pounds

  • Must have valid NYS driver license and a clean MVR.

  • Willingness to respond to the needs of a culturally diverse population.

  • Ability to be seated and use computer equipment for several hours a day.
