Responsibilities:

  1. Reception and Welcome:

• Greet and welcome visitors with a friendly demeanor.

• Manage front desk operations to ensure a neat and organized reception area.

  1. Administrative Support:

• Provide general administrative support to various departments.

• Assist in scheduling and coordinating meetings.

• Handle incoming and outgoing mail and packages.

  1. Client Interaction:

• Effectively communicate with clients and guests to address inquiries or provide information.

• Maintain a positive and helpful attitude in all interactions.

  1. Office Management:

• Oversee office supplies and place orders as needed.

• Collaborate with vendors for office maintenance.

  1. Record Keeping:

• Maintain and update employee and visitor logs.

• Keep track of office equipment and report any issues.

Other Duties and Responsibilities:

• Maintain regular office hours from 9 am to 5 pm.

• Act as the designated Office Fire Warden, ensuring compliance with safety protocols.

• Coordinate incoming and outgoing couriers efficiently.

• Monitor office inventory levels, restock supplies as needed, and place orders for necessary items.

• Arrange Uber rides/ Eats for office-related purposes and other occasions as required.

• Provide assistance in arranging travel plans and processing expense reports.

• Offer administrative support to the office staff as necessary.

• Collaborate with building management to address any facility-related concerns.

• Organize office access cards and parking arrangements for employees.

• Assist in planning and executing social events, including office decorations and venue research.

• Maintain cleanliness in the office and kitchen areas, ensuring a tidy and welcoming environment.

• Manage office snacks, including ordering and restocking supplies as needed.

• Handle incoming and outgoing mail, sorting and distributing it promptly.

Qualifications:

• Previous experience in a front office or administrative role is preferred.

• Proficient in Microsoft Office Suite (Word, Excel, Outlook).

• Strong organizational and multitasking skills.

• Excellent verbal and written communication skills.

• Professional and polished appearance.

Education and Experience:

• High school diploma or equivalent; additional certification in office management is a plus.

• Prior experience in a customer-facing or administrative role.
