What Is the Opportunity?

Advanced skill level is required to perform diverse and complex assignments for the Canada CEO Office. Incumbent must have the ability to adapt procedure, process, and technique to perform the more complex duties of the job. Acts as an ambassador for the Canada CEO Office and is directly responsible for executing the comprehensive suite administrative duties of the Office. This role does not manage others.

What Will You Do?

  • Handle complex administrative assignments and tasks of a broad and varied nature for the CEO / CEO Office including, but not limited to, managing multiple calendars and email, welcoming guests, booking and managing meetings, events, and travel, preparing expenses and invoices for review and processing, responding to emails, reviewing presentations and documentation for accuracy.

  • Exercise considerable discretion and independent judgment in facilitating the CEO Office’s operations.

  • Coordinate inter-departmental or department-wide administrative projects, such as communications, oversee internal/external services purchased, develop and implement CEO Office guidelines for operating policies and procedures.

  • Complex scheduling: internal, external, and department-wide.

  • Regularly interact with internal and external executives, community leaders, shareholders, with confidence and professionalism; initiate follow-up actions as needed.

  • Apply moderate to advanced conflict resolution skills via phone and, occasionally, in-person to assure desired outcomes.

  • Initiate and develop office practices and procedures, within authority level, to continuously improve the Office’s effectiveness and efficiency.

  • Apply problem solving skills utilizing basic change management skills.

  • Perform other duties as assigned.

What is a Must Have?

  • Eight+ years of experience as an administrative assistant to senior leaders, preferably with experience as the assistant to the executive/executive office.

  • Able to work based out of the 165 University Avenue office. Role requires a minimum of 3 days/week in the office, days that will generally mirror the CEO’s in-office schedule.

  • Able to manage and execute a comprehensive suite of administrative duties for the CEO/CEO Office

  • Highly competent in the full suite of Microsoft Office tools
