Job Description

We are looking for an Administrative Assistant with 3+ years of leasing experience and responsible for providing high-level administrative support by conducting research, preparing reports, handling information requests . This position will be full-time and onsite.

What You’ll Do

  • Provide high-level administrative support by conducting research, preparing reports, handling information requests, performing clerical functions, preparing correspondence, receiving visitors, arranging conference calls, tracking tasks, agenda preparation, and scheduling meetings

  • Tower Leases/licenses/use agreements related to space for equipment located on radio towers

  • Ground leases for DMS towers

  • Memorandums of Understanding or Tower Use Agreements (TUA) with state or local entities

  • Assignments and Assumption

  • Provide support to the Contract Manager and Leasing Manager for managing documents and recording information to a SharePoint filing systems

  • Ensuring all statutes and rules are followed for the management of leases

What You'll Need

Required:

  • 1 year of experience providing high-level administrative support by conducting research, preparing reports and handling information requests

  • 1 year of experience performing clerical functions and preparing correspondence

  • 1 year of experience receiving visitors, arranging conference calls and tracking tasks

  • 1 year of experience with agenda preparation and scheduling meetings

  • 1 year of experience with Adobe

  • 3 years of experience in leasing

  • Ability to speak and understand English

  • Experience in researching legal documents, collecting and summarizing historical information, and preparing documents.

  • Be able to pass a State of Florida criminal background screening

  • Be knowledgeable about how to maintain accurate records and files

  • Be knowledgeable about the State of Florida government business practices

  • Possess excellent verbal and written communication skills

  • Understand how to maintain confidentiality of records in accordance with Chapter 119, F.S., and Department policy

Preferred:

  • Experience with DocuSign

Physical Demands

  • Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards

  • Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.

  • Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
