Job Title: Ward Clerk

Reports to: Director of Nursing

Position Summary:

The Ward Clerk acts as a representative for the Nursing Team and assists the Nurse Manager and Charge Nurses’ in setting the tone for the Ward. The Ward Clerk shares the responsibility for establishing and maintaining communications within the Nursing Unit and between the Unit and other Divisions in the Facility. The Ward Clerk demonstrates positive communication skills, tact and diplomacy. The Ward Clerk exhibits a working knowledge of Van Duyn Center’s policies and procedures and an understanding of other department functions with an ability to refer people to appropriate resources as needed. The Ward Clerk in addition to the above functions possesses secretarial skills, knowledge of medical and nursing terminology, flexibility to respond to situations as they arise and an ability to anticipate unit needs.

Responsibilities:

  1. Maintain and accurately file and neat comprehensive medical records and maintaining a basic chart file on the Units as requested by the Director of Medical Records.

  2. Prepares a variety of forms used for resident care, including but not limited admission charts, assignment sheets, etc.

  3. Orders supplies by filling out an order supply form as warranted from Central Supply. In the event of an emergency, Ward Clerks will have to go to Central Supply to pick up order.

  4. Keeps Unit appropriately stocked by maintaining par levels of supplies, forms and stationery.

  5. Arranges for admissions, discharges and transfers of residents by communicating and coordinating with involved persons as directed and prepares appropriate paperwork.

  6. Generates Point of Care aide documentation reports per established schedule twice each day for Unit Manager review.

  7. Communicates with Nutrition and Food Services regarding need for supplies, early, or late trays and cancellation of trays.

  8. Channels communications/takes and relays messages for Unit Manager/Charge Nurse and staff members from other departments, residents and others as indicated.

  9. Handles confidential records and maintains their confidentiality. Flag charts for completion of required information. Assist with handling of comprehensive record during physician visit. Maintains a neat, orderly desk and front environment on assigned Unit.

  10. Greets and directs visitors. Conveys facility information and regulations to residents and visitors as necessary.

  11. Files as directed by Unit Manager/Charge Nurse and Director of Medical Records.

  12. Schedules resident’s appointments, x-ray, EKG, and arranges transportation. Prepares copies of resident information needed for appointments.

  13. Provides secretarial support to assigned Units and provides assistance to other Units in the absence of the Ward Clerk, while performing other related activities as necessary. Coverage for 7th floor and clinic

  14. In consultation with the Nurse Manager/Charge Nurse maintains lab records, fills out consult forms, lab requisitions and copies paperwork as needed/directed.

  15. Reviews lab requisitions prepared by Nursing Staff or prepares newly ordered lab requisitions for daily lab work and correlates calls to lab for pick-up of specimens and stat lab work on the units.

  16. Assist in completing new admission paperwork as directed.

  17. Maintains a positive attitude and provides excellent customer service..

  18. Performs other work-related duties as directed.

  19. Completes audits as assigned

  20. Communicates with Maintenance, Housekeeping, and Laundry to relay needs, make requests, and follow up on services requested.

Physical Requirements:

  • Ability to sit, stand and walk throughout the workday.

  • Ability to lift, bend, stoop, reach, etc. to file, stock supplies.

  • Ability to communicate in person, on the telephone and in writing.

  • Ability to use computer for inputting and looking-up information.

Qualifications:

  • Experience in a health care setting.

  • Excellent customer service skills.

  • Basic knowledge of electronic medical records.

  • Excellent organizational skills with attention to detail.

  • Ability to work well with persons of all cultural and ethnic backgrounds.

  • Ability to work well in stressful situations.

  • Team player.

  • Ability to read and write English
