SUNY Upstate Medical University Administrative Assistant in Syracuse, New York

Job Summary: Provide administrative support to the Division of Development, Behavior and Genetics in the Department of Pediatrics including provide a visible, friendly presence within the division and conduct courteous, professional interactions with patients, families, staff and providers; knowledge of medical records and systems necessary to complete all aspects of position according to confidentiality and HIPAA guidelines; maintain current knowledge of department policy and procedures and maintain an accuracy rate within established guidelines; assist in organizational Quality Improvement activities and make recommendations to solve problems appropriate to Quality Improvement initiatives; implement new policies and procedures as required; prioritize work effectively, make decisions as necessary to ensure efficient clinic operation; respond timely to oral and written communications, aid with tracking and completion of department and institutional requirements for licensure, CME, hospital credentialing of providers, etc.; phones including customer service applications, routing calls, accurately and timely checking, recording and distributing phone messages; miscellaneous duties including distributing mail, faxes, lab/test results, and medical records assistance including release of information, etc.; assist in scheduling prospective employee interviews, phone calls, and follow-up interviews, coordinate new hiring practices with Human Resources, etc.; maintain appointment calendars, assisting with travel arrangements and facilitating reimbursement for division faculty and the division director, etc.; assist division director to support scholarly activity (e.g., grant preparation, manuscript preparation, tracking research and foundation accounts), and other assigned duties.

Minimum Qualifications:

Associates Degree or pertinent college level courses and two years of administrative/office management experience. Previous experience working in an academic/medical office setting, proficient in Microsoft Office including Excel. Will consider equivalent combination of education and experience.
