Responsibilities

This position is responsible for scanning all daily operational paperwork and completing Mass Mailing Requests. Responsibilities also include assisting in the completion of monthly Participant Benefit Statements and assisting employees from other departments when necessary.

Essential Duties:

  • Daily Scanning of operational paperwork (including clean-up of old files)
  • Enrollment Forms
  • Beneficiary Forms
  • MPL Paperwork
  • Incoming IRA Forms
  • Fund Change Paperwork
  • Trust Paperwork
  • Preparing scanned paperwork to be processed for offsite maintenance
  • Complete Mass Mailing requests and place Billing Tasks; utilizing database systems
  • Utilize Insertion Equipment monthly in regards to Quarterly Participant Benefit Statements.
  • Assist, and perform as back up to the Receptionist and/or Administrative Assistant when necessary:
    • Phone
    • Reception
    • Scanning/Filing
    • Stuff envelopes as required
    • UBS Download
    • B50 letters
    • Print labels from database as required
  • Open, date, stamp and distribute incoming department mail
  • Match up distribution/loan checks and letters and prepare for outgoing mail.
  • Assist support positions from other departments when necessary
  • Perform other duties as requested or required
  • Maintain proficient knowledge of, and demonstrate ongoing compliance with all laws and regulations applicable to this position, ensure ongoing adherence to pertinent policies, procedures and internal controls, and meet all job-specific requirements in a timely fashion

Qualifications

Education/ Training:

High School Diploma or equivalent is necessary; 2-year college degree preferred;

2 year accounting degree helpful toward advancement potential

Skills:

Good Communication Skills, Good Organizational Skills, PC Literate

Competencies:

  • Well-developed written and oral communication skills
  • Attention to detail and good organizational skills required.
  • Proficient mathematics skills
  • Relate to co-workers and customers with respect, providing clear and detailed information
  • Display an intermediate level competency with Microsoft Word and Excel, as well as personal computer skills

Experience:

Minimum of one to two years of clerical experience is necessary.

Hours: 40 hours/week
