As a Lease Administrator, you will be responsible the general maintenance and accuracy of lease/tenant information within the Yardi system.

The role is Dexus focused so the Lease Administrator can build and maintain strong relationships with the Dexus Property Management and CBRE/Dexus Finance teams in particular. It also allows the Lease Administrator to become familiar with the Dexus portfolio and its tenants.

It is expected that the Lease Administrator will demonstrate superior client service attributes in their dealings with Dexus, their colleagues and with tenants.

The role requires a strong attention to detail, the ability to organise and prioritise tasks, strong written and verbal communication skills as well as the ability to remain flexible.

The Senior Lease Administrator is encouraged to actively participate in team discussions and initiatives, such as identifying opportunities to improve processes and systems.

Key Responsibilities:

  • Maintain all lease information in system to enable accurate and timely recognition of income and reporting of tenancy schedules including:

  • Set-up and interpretation of leases and licences

  • Area Management

  • Rent Reviews

  • Reimbursable Expenses

  • Outgoings (including cleaning)

  • Turnover rent and capped occupancy charges

  • Other special conditions and ad-hoc charges, as required

  • Lease amendments

  • Issuing of leasing deposits

  • Set-up accurate billings for rent roll in line with the Dexus policy, including distribution of invoices.

  • Build strong relationships with Property Managers and tenants to ensure accurate flow of information.

  • Follow up of Public Liability insurance letters in Yardi.

  • Monthly follow up with tenants to ensure outstanding Bank Guarantees are obtained and update status in Yardi.

  • Provide administrative support to the Property Managers around bad debt write offs

  • Participate in regular meetings with Dexus, ensuring that all reporting requirements are met by the due dates, that all queries are dealt with promptly and that all deliverables are accurate and to the Dexus specifications

  • Adhere to CBRE and Dexus policies, procedures and risk management systems

  • Mentoring of junior staff.

Experience

  • Minimum of 3 year’s property/administration experience including with commercial property management systems

  • Knowledge of leases and ability to interpret leases and licenses and other property documentation.

  • Knowledge of Retail Leases Act.

Required Knowledge & Skills:

  • Intermediate level in core Microsoft packages – particularly Word, Excel and Outlook

  • Excellent verbal and written communication skills in order to liaise with Dexus, their tenants and colleagues including reports and documentation

  • Excellent time management and organisational skills with the ability to manage workflow and priorities and meet deadlines for several client contacts

  • Ability to work under minimum supervision and accept instructions from manager and/or client

  • Customer service focus and performance outcome orientation with all colleagues and Dexus at all levels

  • Excellent attention to detail and high level of accuracy.
