ABM Industries Billing Purchase Orders and Portal Specialist in Sugar Land, Texas

Overview

Billing & Account Support Services (BASS) team is responsible in leading the contract set up process to provide ABM clients with timely and accurate invoices. The BASS Specialist is responsible for setting up and maintaining the client’s portal registration, which includes completing required supplier packets, contacting the client as needed, and providing training to Operations and ESC team members. The BASS Specialist is also responsible for providing clients and Operations team with accurate and efficient information regarding purchase orders. This role partners with the BASS Lead and CMS Specialist to provide a seamless onboarding and maintenance experience.

Job Responsibilities:

  1. Complete client online portal registration process

  2. Assist new users with access to client online portal

  3. Provide users with training and support when necessary

  4. Process client invoices for portal fees

  5. Assist with uploading invoices in client’s online portal

  6. Regularly review and monitor client purchase orders to identify expiration, spend limits or an issue that requires attention

  7. Provide consistent and professional communication with clients and operations on purchase order requirements

  8. Facilitate any required Service Now forms for client portal or purchase orders

  9. Assist with monitoring and triaging internal and external shared email mailboxes 10. Perform other duties and special projects as assigned

Minimum Requirements:

  1. High school diploma or equivalent GED required; Associate’s degree or above preferred

  2. 3 years of client service experience

  3. Ability to analyze customer needs and delivering solutions

  4. Proficiency in data entry, recordkeeping, and reporting

  5. Process-oriented and highly accountable

  6. Strong Microsoft Office skills, including Excel, Visio and PowerPoint

  7. High-level of attention to detail and accuracy

  8. Technical trouble-shooting knowledge and experience of client portal systems

  9. Strong ability to prioritize tasks and effectively manage time

  10. Experience with ServiceNow preferred

  11. Excellent oral and written communication skills

  12. Strong sense of urgency for addressing internal and external client needs

  13. Willingness to accept new challenges and responsibilities

  14. Work well in a team environment and support others within the group when needed
