Job Description Summary

embecta is seeking a skilled and experienced executive administrator to join our Nordics team. The successful candidate will be responsible for providing holistic business administrative support to the team. The Executive Assistant will manage the PO process, Fleet Management and a range of other administrative functions. They will support the Nordics and also contribute to team tasks in the UK and Benelux regions.

Key Responsibilities

  • Process new vendor requests through Ariba Spend Management systems, manage vendor detail changes (bank details, VAT etc.)

  • Create PO requests visa Ariba Guided Buying

  • Follow up on unpaid invoices with vendors and the Finance Department

  • Fleet Management for the sales team.

  • Manage post.

  • Accountable for the procurement of office supplies, conference room management and managing the relationship with office facilities partner.

  • Support Sales Reps and Customers with relevant materials.

  • Oversee printed materials and sample stock, including ordering samples and print materials.

  • Keep sales reps up to date on the availability.

  • Work closely with Printing Suppliers, Translation Service Providers

  • Monitor the corporate email for the Nordic regions.

  • Support sales reps in Pre and Post Tender activities including labelling and sending our tender samples, updating product sheets, creating product images and tender product sheets in accordance with the relevant region.

  • Support with events in Stockholm, managing travel arrangements and event logistics.

  • Support the Product Manager with Veeva, Marketing Cloud etc.

Key Experience & Skills

  • A desire to support the team and perform administrative tasks.

  • A strong depth of experience in the management of purchase order processes utilizing the Ariba system. Experience with Ariba is of benefit but we will consider other vendor management systems.

  • Ability to support current administrative process and contribute to process improvement.

  • Autonomous and independent way of working

  • Excellent communication skills, with the ability to interact at all levels of the business.

  • Fluent / Professional Proficiency with English & Swedish. Other Nordic languages are an advantage.

  • A keen eye for detail

  • Sense of urgency and can work within deadlines.

  • Team player
