Accounts Payable Specialist Finance Description JOB SUMMARY: The primary purpose of the Accounts Payable Specialist is to be responsible for the integrity and operation of the College's accounts payable process. This position reports to the Senior Accountant. Employment Type: Full-time (1.0 FTE), Non-exempt (Hourly), Benefits-Eligible MAIN RESPONSIBILITIES: Ensure all vendors have required IRS documentation on file Process accounts payable checks weekly ensuring all requests for payment include the proper documentation and signatures before processing Process manual checks Process ACH payments as well as payments via a third party vendor Maintain the purchase card database for over 400 cardholders including conducting cardholder training, card maintenance, and assisting with the online expense manager Review and verify all invoices and requests for payment to ensure adherence to Gustavus policy Regularly communicate with faculty, staff, and students regarding any issues with requests for payment, providing guidance and resolving discrepancies Assist with and prepare for month end and year end closing (1099s, entertainer tax returns) Manage local charge accounts to ensure timely payment Complete tax exemption and credit requests Work with external auditors and assist in the annual financial audit Provide general office support to the Finance department, as needed All other duties as assigned Prerequisites MINIMUM QUALIFICATIONS: Associate s degree or equivalent work experience 1-3 years of experience in an accounting department or business office setting Accurate data entry skills Understanding of basic principles of finance, accounting, and bookkeeping Strong organizational skills and attention to detail Proficiency in accounting software and Microsoft Office Suite, particularly Excel Familiarity with accounting and financial software Ability to adapt to new technology and software systems quickly Ability to analyze and solve problems independently Ability to handle confidential information with integrity Excellent interpersonal, oral, and written communication skills Experience in an academic or non-profit environment is a plus Two years of accounts payable experience, preferred Application Procedures: To apply for this position, please continue the process on our website, https://gustavus.edu/humanresources/employment to complete the online application and submit your resume and any supporting documents.
