College of St Benedict Department Coordinator in St. Joseph, Minnesota

The Culinary Services Department at Saint John's University invites applications for a full-time (.80 FTE), benefit eligible position of Department Coordinator. This position supports the work of Saint John s University (SJU) Culinary Services which includes the Refectory Dining center, Sexton Commons Dining, Events and Catering and the Schu Coffee Shop. This position is located on the SJU campus and requires regular, in-person availability Monday-Friday. This position will require some weekend shifts as Culinary Services operate 7 days a week throughout the year. The Department Coordinator provides administrative support including financial and office functions. These responsibilities generally include department communication, accounts receivable and payable, and customer service. Responsibilities Office Support Serve as the initial point of contact for departmental phone calls and emails, providing assistance, addressing inquiries, and resolving issues Purchase, monitor, and maintain department office supplies as needed. Provide excellent customer service and hospitality to customers and visitors. Coordinate distribution, collection, and approval process of non-exempt employee timecards. Submit necessary documents and reports to Payroll office. Take and accurately enter customer orders into data system for processing, production, and payment. Provide support to the Business Manager and temporarily cover duties and responsibilities in their absence. Other duties as assigned by the Business Manager. Department Financial Support Prepare and process accounts payable for all internal and external accounts. Process end of month reconciliation of internal catering orders. Assist Events and Catering with external customer invoices. Accurately document monthly inventory counts. Ensures adequate cash on hand, as needed, and prepare daily deposits. Assist with student meal contracts and meal plan changes. Cashier and Point of Sale System Coordinate the point-of-sale register system and software which includes providing training, support, data collection and equipment needs. Serves as a cashier as needed. Hire, train, schedule, and supervise cashiers. Catering Develop an understanding of the service and execution of catered event functions Ability to assist with catering events as needed. Working knowledge of catering team processes.
