Purpose:

Reporting to Director, Global Marine Operations, the incumbent is primarily responsible for managing vessel operations and logistics for crude and refined product deliveries to Phillips 66 refining assets and interests. This includes voyage management, ensuring charter party compliance, pre and post fixture activities, as well as settlement of voyage related financial matters. The Voyage Coordinator plays a critical role in providing and supporting day-to-day interface with the Charterer, Scheduler, Terminal, Agent and Owners or Operators in Phillips 66’ term chartered and spot-chartered shipping businesses.

Key accountabilities:

  • Acts as the primary operations point of contact (24/7) for assigned equipment.

  • Responsible for preparation and communication of voyage orders, and further instructions.

  • Handles vessel/ cargo stowage agency nominations and or appointments, and communications.

  • Ensures all assigned voyages are performed as defined by Phillips 66 standardized voyage orders.

  • Ensure all emails are correctly tagged as per the process for working in SEDNA

  • Ensure accurate capture of voyage details in IMOS and other systems, as applicable.

  • Interface with Commercial schedulers, charterer, agents, terminal, vessel/barge owners/operators and tanker brokers in respect of voyages to and from 3rd party customers.

  • Interaction with Marine Assurance to maintain minimal exposure for Phillips 66 cargoes and assets

  • Work with Phillips 66 Loss Control to eliminate or minimize any impairment on cargo quality or quantity.

  • Monitor vessel’s bunker ROB and consumption for heating, tank cleaning and ECA zone consumption

  • Manage all aspects of voyage costs and cargo documentation related to Operations.

  • Verify and approve Hire payments, freight invoices and all other secondary voyage costs.

  • Represent the company with carriers, terminal personnel, and/or other internal/external contacts in a professional manner.

  • Possess a firm understanding of the Global Vessel Incident Reporting & Crisis Monitoring Plan and ensure duties are performed as per the “On Call Incident Report Manual”.

Required Qualifications, Experience and Skills:

  • Bachelor’s degree or equivalent years of experience.

  • Broad understanding of marine transportation business, including marine logistics, dispatching, and general marine transportation processes.

  • Possesses a fundamental understanding of marine risk and exposures to marine liability.

  • Proficiency in SEDNA and IMOS

  • Strong computer proficiency in Microsoft Office and the ability to learn new systems as required.

  • Ability to handle multiple tasks and efficiently prioritize work to meet deadlines.

  • High level of accuracy and attention to detail.

  • Excellent communication, facilitation, planning and organizational skills.

  • Works effectively in teams with a strong desire for personal learning and sharing of knowledge with others.
