JOB RESPONSIBILITIES:

  • Track and monitor faulty warranty equipment.

  • Assist with faulty equipment returns to help understand the queries quicker.

  • Assist with managing Human Capital activities including payroll and benefits service providers.

  • Attend to any Human Capital queries including medical and benefits scheme queries.

  • Provide support to Human Resource programs, initiatives and processes in collaboration with South Africa team.

  • Collaborate with internal stakeholders (HR, Finance, IT etc.) for onboarding/offboarding of employees.

  • Ensures that the facility is clean and maintained according to company policy and procedures.

  • Maintenance, building and equipment repairs, and regular inspections/audits.

  • Ensure adherence to Legal compliance of Americas as required for registered company with employees i.e. Safety standards, Legislative posters, audits as required in the USA etc.

  • Manage asset allocations and office supplies (Stationary, coffee etc.).

  • Managing and assisting with the establishment of the training centre.

  • Manage training center (Arranging training sessions and training material).

  • Communicate and assist with general administration related duties including the use of trademark in the USA.

  • Manage and assist with work visas for employees when required.

  • Coordinate schedules and appointments and makes travel arrangements for Americas employees.

  • Ensure bookkeeping is in place for expenses/capex, travel and expense reports incurred by the entity.

  • Liaise with South Africa finance team for payments.

  • Learn and understand the regulatory framework around international shipments.

  • Arrange couriers and shipments between entities globally.

  • Handle confidential materials, including documents and information requests.

  • Prepare correspondence, business updates, meeting notes and other routine reports.

REQUIRED QUALIFICATIONS:

  • High School Diploma or Higher with at least 3 years of administrative support experience

  • Working experience in HR field

  • Must have an Industrial and manufacturing exposure

  • Must have working experience withing global environment

  • Proficient in Microsoft Office; Outlook, Word, Excel, PowerPoint.

  • Experience with expense reporting and calendar management.

  • Outstanding verbal and written communication skills.

  • Exceptionally organized with attention to detail.

  • Ability to work well with all levels of management, staff and outside clients.

  • Must be a Self-starter and have initiative to follow-through.

  • Ability to work with minimal supervision and in a team environment.

  • Ability to organize and prioritize tasks.

  • Ability to Handle Confidential Information.

  • Ability to pass pre-employment background check, drug test.

  • Prior experience working within an engineering organization is a plus.

  • Business administration qualification or related field preferred.
