Ethos Veterinary Health Referral Coordinator, Animal Medical Center of Seattle in Shoreline, Washington

Animal Medical Center of Seattle (AMCS) is looking for a friendly and career minded Referral Coordinator in providing specialty animal care in Shoreline, WA. Our doctors, support staff and managers all work together to provide the most comprehensive care and customer service for our patients, clients and the referring veterinary community.

Summary

The referral coordinator provides excellent customer service and support for our clients by answering telephones, greeting clients, gathering client and patient information, scheduling appointments, keeping clients updated by telephone, accurately processing payments and conducting efficient client checkout. The referral coordinator also acts a liaison between the client, DVM, referring veterinarians and hospital staff.

Essential functions and responsibilities include the following (other duties may be assigned):

• Schedules appointments for the veterinary specialists (i.e. oncologist, internist, etc.)

• Acts as a liaison between the client and the veterinarian

• Maintains a warm and professional appearance and demeanor

• Greets all incoming clients immediately. Determines client and patient needs and promptly administers or obtains appropriate assistance.

• Answers incoming telephone calls in an efficient manner; assists callers via phone triage.

• Ensures that clients fill out initial paperwork completely; answers any preliminary client question regarding care or finances

• Accurately and efficiently enters client information into veterinary software.

• Performs financial transactions including initial payments and additional payments as requested by the veterinary team. Provides seamless financial checkout when patient is discharged.

• Is familiar with the acceptable types of payments and is able to offer clients guidance when seeking financial options for care.

• Possesses a working knowledge of CareCredit and the terms that Animal Medical Center of Seattle (AMCS) offers.

• Responsible for making change and maintaining a balanced cash drawer.

• Responsible for keeping the reception area, client waiting room, exam rooms and client restroom clean and stocked at all times.

• Shares holiday coverage and on call schedule

Attends CE classes as requested by supervisor

• Regularly attends staff meetings and one-on-one meetings with supervisor

• Reports any concerns, problems or staffing issues to supervisor

Supervisory responsibilities: none

Knowledge and skill requirement

• Knowledge of basic computer functions; possesses basic typing skills

• Is neat and thorough

• Able to work in a fast-paced, stressful work environment. Must be able to maintain professionalism and composure at all times.

• Able to effectively communicate with co-workers, supervisors, clients and the public in a professional manner

• Able to handle difficult clients

• Able to speak, read and write the English language

Education and experience

• Basic reading, writing, and arithmetic skills are required. This is normally acquired through a high school diploma or GED

• Potential applicants should also have a minimum of one year of experience working in a fast paced office/administrative or customer service capacity.

o Experience in the veterinary field preferred

• Computer literate with the ability to learn new veterinary based software applications

• Working conditions are normal for a veterinary hospital

o The noise level is moderate to high and includes business machines, medical equipment and patient barking/howling

• Work may infrequently involve lifting of patients and inventory up to 40 pounds.

• Equipment operation may require the use of personal protective equipment (PPE) to include but not limited to: eye safety glasses, lead lined gowns and gloves and nitrile gloves.

Schedule:

Day and swing shift needed. -We offer a $2 swing shift differential!

Compensation: $20-$23/hr.

Our pay ranges are primarily determined by role, level, and location. The range provided for each job posting reflects the minimum and maximum target for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
