The Engineering Secretary handles all work in the Engineering Department and manages the office systems and interface with the Duty Engineer and team members. This role manages appointments and all secretarial services of the department.

What will I be doing?

As the Engineering Secretary, you will be responsible for performing the following tasks to the highest standards:

• Responsible for all the paperwork in the Engineering department.

• Coordinate activities of the Engineering office team and collate information on behalf of the Chief Engineer.

• Compile monthly and all other reports and statistics, duty rosters, petty cash, expenses forms, etc.

• Handle mail documents and correspondence in the Engineering department, organize the office filing systems, typing, fax, photocopier and other office equipment, keeping appropriate records of paperwork.

• Attend meetings which are chaired by the Chief Engineer and make sure that minutes are taken, compiled and produced within 24 hours.

• Arrange and remind Duty Engineers of appointments.

• Assist Duty Engineers in preparing records and reports.

• Take messages from telephone calls or other sources meticulously and in full detail when the Chief Engineer is absent or not available to communicate directly.

• Be responsible for all the requisitions to the Engineering Storekeeper for the Engineering department, following-up on acquisitions and keeping full records of status of all purchase requests, purchases and final accounting.

• Responsible for department attendance and daily expense reimbursement.

• Maintain and administer records and reports.

• Carry out any other reasonable duties and responsibilities as assigned.
