Alaska SeaLife Center Grant Technician 1 or 2 in Seward, Alaska

Summary:

This position is responsible for providing administrative and analytical support for grants and other external funds awarded to the Alaska SeaLife Center and in a fiscal agent capacity for other entities.

Education/Training Requirements:

Minimum of two years’ experience in a similar position or Associate’s degree in a related field. Excellent written and oral communication skills and proficiency with computer navigation necessary. Preference to someone with solid Microsoft Office skills, with experience working in Excel and Adobe Acrobat in particular.

Essential Duties:

  • Organizes and maintains centralized electronic files for grant, contract and subaward documents to include: award documents, contacts, phone numbers, key dates, special conditions, reporting requirements, invoicing and all related correspondence.

  • Prepares subaward and contractual award documents and financial reporting forms. Follows the document process from initiation to execution.

  • Manages shared email inbox and serves as initial point of contact for incoming email communications. Downloads invoices and other documents, assigns accurate file names and locations, acts as primary reviewer for new invoices, flags potential documentation issues and corresponds with sending organization to resolve questions in a timely manner.

  • Assists grant PIs, program managers, project managers, and the rest of the grants team in tracking budgets and spending. Specifically, prepares requests for G/L reclassifications, maintains up-to-date project budgets in Microsoft Dynamics, and updates Excel files tracking expenses on a monthly basis. Reviews submitted grant expenses prior to processing. Assists with financial reports to funders. When required, drafts, submits and monitors payment of invoices to funders.

  • Reviews contractual documents for vendor and subaward agreements to ensure invoicing is compliant with award.

  • Continually monitors grant, contract and subaward activity to ensure compliance with funder policies and requirements. Reviews and approves subawardee invoices, combines and converts documents in Adobe, tracks invoices in Access and contacts subawardees when invoices are incomplete or late.

  • Uses interpersonal skills to coordinate projects requiring interactions with many internal parties. Uses financial analysis, critical thinking and problem-solving skills to analyze data and develop meaningful solutions to specific problems. Uses organizational skills to manage competing priorities. Uses independent judgment to make logical decisions.

  • Plays an active role assisting in the annual independent audit process and budgeting process for externally funded activities.

  • Assists in the development of policy changes as they pertain to grant accounting, sub-award compliance and overall grant management.

  • Fosters good relations with visitors, volunteers, community leaders, contractors, and fellow staff members by promoting positive attitudes, good will, cooperation, and providing high standards of service.

  • Complies with all Alaska SeaLife Center policies, procedures, and programs.

  • Performs other related duties as assigned.

    Other Skills and Abilities:

    Must possess advanced skills in time management, attention to detail, organization, customer service, computers, and oral and written communication. Must have strong knowledge pertaining to Microsoft Office products. Must have the ability to present information to non-financial groups, work with diverse individuals, work independently, maintain confidentiality and interact effectively with staff, senior management, funders, and subawardees. Prefer experience, coursework, or other training with applicable U.S. Federal government circulars (OMB Circulars A-110, A-122, A-133, and 2 CFR Part 200), state and local regulations, and meaning of standard contract clauses. Consistently produces high-quality work, and prioritizes accuracy. Must have accounting, budgeting and financial analysis skills.
