Duties Summary

Under limited supervision, the Museum Administrative Assistant conducts daily operations of the museum office, provides information to visitors, and contributes administrative support to professional staff. Performs other duties as assigned.

Distinguishing Characteristics

The position of Museum Administrative Assistant encompasses a range of exacting duties that support and enhance the operation of an active art museum. The individual reports to the director of the Daum Museum of Contemporary Art.

Examples of Essential Duties

General office management.Responsible for the oversight and smooth functioning of the museums administrative office. Coordinates budget, billing, and receivables. Maintains records concerning operations, correspondence, and attendance. Answers telephone, greets visitors, responds to public inquiries via the website, and facilitates tour requests. Responsible for the daily opening and closing of the museum, ordering supplies, and maintaining office equipment. It is a liaison between the museum and non-academic, non-advancement departments on campus, including the business office, human resources, information technology, and physical plant.

Grant writing support.Assists in gathering information for government, foundation, and academic grants. Records and maintains pertinent statistical information (e.g. attendance tallies and demographics). Assists with grant proposals, schedules, and implementation of follow-up reports and invoices.

Museum website and social media.Responsible for maintenance of and oversight of changes to the museums website. Responsible for creating content and posting on social media platforms.

Graphic design.Responsible for the oversight of advertisement scheduling, production, and placement for exhibitions and events. Responsible for facilitating the production of museum exhibition catalogs and other printed materials. Individual must be familiar with Photoshop and other computer design programs.

Program and event support.Provides administrative support for specified education projects (school programs, artist lectures, and workshops, etc.) helps with scheduling of docent activities. Coordinates special events, including members receptions, public openings, fundraisers, and other functions as they arise.

Exhibition and collection support.Assists with setup of exhibitions, management of collections, and coordinating delivery and shipping of artwork.

Physical Plant.Has knowledge of the museums security systems, sound systems, fire alarms, humidifiers, heating/AC, elevators, and sump pumps.

Minimum Qualifications

Knowledge of:Office management, records management, Microsoft Office, Adobe Creative Cloud, social media platforms, and computer information systems.

Ability to:Work as part of a team and communicate effectively. Have superior verbal, writing, and computer skills. Must be able to manage multiple, simultaneous projects and attend to detail. Requires periodic evening and weekend hours.

Education:Associate's degree in business management or office administration; experience can substitute for education.

Experience:Three years office support experience preferred.
