Description

Pay Range: $26-$27.29 per hour

Job Purpose: Safely and effectively compile data, compute fees and charges, and prepare invoices for billing purposes. Communicates with customers and co-workers to complete responsibilities. Deadline driven, weekly and monthly. Process weekly payroll.

Duties and Responsibilities

  • Process weekly payroll information for 3 unions (e.g timesheets)

  • Document customer related communications in the company’s internal customer service system

  • Ensure the confidentiality and security of all financial and employee files.

  • Process accounts receivable weekly and monthly, emailing invoices, scanning documents and mailing invoices as well as checks.

  • Prepare monthly union medical, union dues, pension three unions.

  • Respond promptly to customer inquiries for information and documentation requests on their accounts.

  • Responsible for direct communication with various department managers on an as needed basis regarding past due customers

  • Prepare collections letters and aging reports

  • Research rebate checks

  • Prepare, generate, and review various internal reports

  • Prepare debit and credit memos as required

  • Apply payments to accounts and reconciling customer accounts with the customers

  • Assist in the mailing of invoices and checks

  • Assist in setting up customers and making changes to customer accounts

  • Assist in compiling reports and recording information in various databases

  • Support accounting operations by filing documents, reconciling statements; running software programs

  • Interact with others in a professional and ethical manner

  • Follow department and company procedures

  • Keep up regular attendance and punctuality; regular attendance and punctuality are essential for the smooth operation of this company

  • Other duties as assigned

    Position Requirements

  • A minimum of two years of education beyond a high school diploma (Associate’s degree preferred)

  • Must have at least 3 years of experience in an accounting position

  • Must have experience in accounts receivable and payroll

  • Ability to follow oral and written directions to complete assigned tasks

  • Ability to utilize problem-solving techniques and to demonstrate analytical skills

  • Ability to multi-task and work well with others

  • Must have excellent communication skills

  • Ability to investigate and document customer issues

  • Proficiency with Word, Excel and Outlook and preferably Paylocity.(or similar software application)

  • Less than 5% travel required.

Physical Demands/Requirements:

Constantly (over 2/3):

  • Operates computer and other office productivity machinery such as calculator, copy machine and printer.

  • Remain in a stationary position for 50% or more of the time

  • Review documents, organizes data and detects accuracy of information

Frequently (1/3-2/3):

  • Moves throughout office accessing files, office machinery, etc.

  • Communicates with customers and co-workers and exchanges accurate information in-person, telephonically and via electronic devices/e-mail

Occasionally (under 1/3):

  • Moves materials or documents up to 25 lbs
