The Department of Laboratory Medicine and Pathology (DLMP) has an outstanding opportunity for a Human Resource Assistant Senior. This purpose of this position is to provide human resource and payroll administrative support for all staff within the Department of Laboratory Medicine and Pathology (DLMP), which consists of Medical Center (MC) and School of Medicine (SOM). The Staff HR team primarily works with and supports over 1800 faculty, professional, classified, and temporary staff, undergraduate and graduate students, as well as volunteers and interns within DLMP. The Human Resources team handles all human resources transactions and processes for the department to include but not limited to payroll, orientation, hiring, compliance tracking for regulatory requirements, exit interviews, etc. This position will also collate and analyze data for HR uses, i.e. turnover rate, resignation reasons, open positions, etc. This role will spend a significant amount of time in Kronos, MC payroll system, and Workday, the University’s cloud-based human resource and payroll management system. The HR Assistant Sr. will be the first point of contact for general inquiries for the HR team. Under the general direction of the Associate Director of HR, the Human Resource Assistant Senior establishes work priorities, ensures that deadlines are met, performs work using knowledge and experience specific to the program,. Exercises independent judgment interpreting and applying appropriate rules and regulations; decision-making skills to acquire highly sensitive information from a variety of internal and external sources participating in general HR functions. RESPONSIBILITIES • Payroll, Kronos and general and related reports in Workday (i.e., payroll cutoff, expiring allocations, default budget list, timesheet audits, holiday audits, etc.) • Monitor, manage and triage center shared email listserv, e.g. dlmphr and lmpay • HR and Payroll announcement to department to include but not limited to faculty, managers, and staff. • Answer inquiries and questions related to general HR and Payroll questions • Take appropriate actions for area of HR and Payroll (i.e. termination entry, under/over payment, • Update and maintain DLMP website and DLMP HR Sharepoint • Manage public records requests • Preparation of documents, data, and/or information i.e. public records request, union, etc. • Draft and compose internal and external communications on behalf of the Associate Director of HR. • Review and document departmental operational HR policies and procedures, making recommendations for improved efficiency where needed • Under general supervision, works on special projects as assigned • Prepares and submits paperwork or tasks in WD for general HR functions • Support administrative tasks i.e. compose and/or type letters, acknowledgements, notifications, confidential and sensitive materials, Internet searches, etc.; assists with photocopying, printing, scanning and faxing documents; • Accesses and uses applicable technology resources efficiently and effectively to retrieve information and generate reports. • Enters personnel requests in Workday and UWHires on behalf of hiring managers and assists them with the hiring paperwork as needed. • Assist in the production and distribution of publications, appropriately utilizing, coordinating, and delegating use of Excel, Word, PowerPoint, and specialized desktop capabilities to produce questionnaires, charts, presentations, workbooks, spreadsheets, mail lists and labels, and other materials required • Write and edit position descriptions • Prepare correspondence for signature by Associate Director and HR Manager • Advise on policies and procedures • Provide guidance to employees and managers on FMLA/FCLA provisions • Monitor leaves of absence, notifying managers, employees and HR staff when leaves are expiring and/or additional documentation is required • Advise supervisors on salary practice for contract-classified and classified non-union positions • Complete hiring process through documentation and notification • Coordinate scheduling for HR team and external support department • Prepare hiring and offer letters • Serve as a resource for staff and maintain systems and processes that support Human Resources functions. MINIMUM REQUIREMENTS • Four years of office experience including two years of increasingly responsible experience in a human resource or related setting OR Equivalent education/experience. DESIRED REQUIREMENTS • Experience in a medical academic environment is highly desirable. • Experience with Workday, UWHires, and/or Kronos software • Proficiency with use of computers including applications such as MS Office, Excel, Outlook, Word, PowerPoint, as well as Catalyst and Zoom. • Experience with web page authoring or the ability to learn. Experience creating web surveys or willing to learn.
