Cushing Terrell Administrative Assistant in Seattle, Washington

As a Cushing Terrell team member, you will have a unique opportunity to manage projects throughout the United States. You will be the creative engine of our teams and our projects, developing a quality, unified and sustainable design. You will be called upon to lead architectural project development teams, in partnership with talented designers, engineers, and business professionals across our 13 offices.

What you will bring to the table:

  • An Associates degree or higher in related business fields
  • 5+ years experience in administrative assistance
  • Proficient in Deltek Vision, Vantage Point, Microsoft Office Suite, Bluebeam, Adobe, Outlook
  • Excellent understanding of scheduling, basic budgeting and accounting skills, and a working knowledge of architecture, engineering and/or and construction administration
  • Ability to collaborate and communicate with other team members

As a Team Member at Cushing Terrell, you will

  • Distribute and receive plans, shop drawings, specifications addenda and administers related deposits
  • Maintain plan holder list and contractor contact file
  • Develop and maintain office correspondence formats, templates, etc.
  • Produce and assemble contract documents, specs, addendums, reports, meeting minutes, etc.
  • Review contract documents for accuracy
  • Proofread and edit documents
  • Assist with accounting and act within guidelines provided
  • Facilitate client, contractor, and project correspondence
  • Coordinate with office managers to ensure building maintenance
  • Maintain document library and storage
  • Setup meetings both in person and virtually for conferences and invite participants
  • Provide a pleasant welcome for guests and our team, in person, by phone or through written correspondence
  • Maintain efficient office operations (filing, correspondence and communications) and procure supplies and equipment as needed
  • Coordinate schedules, make and manage team travel arrangements
  • Process and distribute mail and deliverables
  • Assists all teams as needed
  • Produce various job specific reports, spreadsheets and documents as requested by PM (CO, COR, RVI, RFP, change directives, field reports, meeting minutes, punch lists, other)

     

The majority of the time a person in this role will be sitting in an office with limited physical requirements. This may require individuals to bend, stretch, twist and reach. On occasion individuals will be required to visit a client site to perform site verifications and field surveys.

 

Compensation

The expected salary range for this position $55,000 to $70,000 is based on the Seattle,WA location posted. If you are a candidate living outside of (this region/these regions), we still encourage you to apply as salary ranges may differ across states/cities/job markets.

Actual pay will be determined based on your years of experience, licensure status, location, level of proficiency, and other job-related factors (as permitted by law). The position is also eligible for an annual performance bonus.
