Position Overview:

We are seeking a highly organized and professional Executive Assistant to provide support to our ANZ Vice President and General Manager and our broader Senior Leadership Team. As an Executive Assistant, you will play a crucial role in maintaining effective communication and coordination between various departments, managing executive calendars, and ensuring the smooth operation of day-to-day activities. The ideal candidate should possess excellent organizational skills, exceptional attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  • Calendar and Meeting Management: Effectively manage executive calendars, schedule appointments, and coordinate meetings, ensuring efficient use of time and resources. Prepare and distribute meeting agendas, take accurate minutes when required, and follow up on action items.

  • Travel and Event Coordination: Arrange complex travel itineraries, including flights, accommodation, and ground transportation. Coordinate logistics for executive events, conferences, and SLT meetings, ensuring seamless execution.

  • Visitors: Assist executive international visitors when in Australia, including co-ordination of meetings and itinerary, as well as on the ground support whilst here.

  • Administrative Support: Provide general administrative support, including but not limited to managing expense reports, coordinating team events, and ordering catering or office supplies. Assist with special projects and ad-hoc tasks as assigned.

  • Communication: as a member of the ANZ internal communications committee, take an active role in contributing to our internal communications strategy and action plan, and participate in the project teams responsible for our annual commercial conference and our quarterly townhalls.

Experience:

  • 5+ years’ experience in a similar position

  • Solid computer skills and ability to prepare formal presentations and documents

Knowledge, Skills, Abilities:

  • Highly organized with strong planning and administrative skills and a high attention to details

  • Confidentiality, discretion and integrity

  • Attention to detail

  • Resourceful initiative taker at ease operating autonomously and within a certain level of ambiguity

  • Excellent communication skills both written and verbal

  • Sound judgement and ability to exert influence to manage priorities

  • Comfortable manoeuvring through complex policies, processes and people related organisational dynamics

  • Ability to manage in a high pressure and dynamic environment

  • PC skills, including proficiency in Microsoft Outlook, Word, Excel and PowerPoint
