Description

A start-up in Santa Monica is looking for an Office Manager to join the team on a contract-to-hire basis. This is an onsite role in the Santa Monica office. Duties for the Office Manager will include managing office and warehouse facility, monitoring office staff, managing inventory and assisting with company initiatives. Additional duties include:

• Support a positive and safe work environment for our staff, including organizing office parties and team activities

• Monitor daily reporting from hourly staff/junior managers

• Manage office moves and propose ideas to improve office organization and logistics

• Maintain and oversee the teams in charge of the general upkeep of the office, including the kitchen and common areas.

• Support in the execution of company’s wellness efforts

• Liaise with outsourced IT consulting firm and supporting the team to ensure we have proper equipment

• Assist VP, Operations and wholesale team with logistics and reservations for trade conventions

• Serve as liaison to vendors such as janitorial services, ADT security, water filtration etc

• Carry out routine checks and audit COVID safety and compliance programs, supplies, and initiatives

• Support maintenance and safety checks at our facilities (Gardena, Santa Monica, & Mid-City)

• Communicate with relevant personnel for troubleshooting more complex issues such as staffing locations for deliveries during the holidays

• Work with team to ensure workstations are setup and proper equipment is provided for new hires

• Provide general support to visitors and the scheduling of company-wide meetings

• Answer/return general inquiry phone calls, collect mail/receive packages, and manage/purchase office supplies/equipment

• Carry out administrative duties such as filing, copying, binding, scanning, etc.

• Accomplish accounting and organizational mission by completing related tasks as needed

The ideal candidate will have 3-5 years of experience in a related field. This is a growing business, and you will be required to wear many hats and assist where needed. Reliable transportation is required because you will be required to visit other sites in Los Angeles. MS Suite is required. Pay is $75-85k, depending on experience.

Requirements • Proficiency in using Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook

• Experience with Accounting Software Systems and ADP - Financial Services

• Familiarity with accounting functions such as Accounts Payable (AP) and Accounts Receivable (AR)

• Ability to manage billing functions efficiently

• Strong customer service skills

• Experience in managing office operations and administrative tasks

• Ability to multitask and prioritize tasks as per business requirements

• Excellent communication and interpersonal skills

• Strong organizational and time management abilities

• Ability to work independently and as part of a team

• Problem-solving skills and ability to make decisions under pressure

• High attention to detail and accuracy

• Proven leadership skills and ability to supervise and guide team members if needed

• Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
