Description

We are offering an exciting opportunity for a Trusts and Estates Legal Assistant, located in San Jose, California. The primary function of this role is to offer support to the Trusts and Estates Practice Group within the firm, handling a variety of tasks including document formatting, court pleadings, estate planning, client communication, and administrative duties.

Responsibilities:

• Take charge of document creation, including proofreading and editing, ensuring meticulous formatting and redlining of litigation documents meant for court filing.

• Handle the filing of court pleadings according to the Local Rules of Court, and serve pleadings in compliance with the Probate Code and firm policies.

• Be responsible for recording deeds and other documents with the assessor-recorder’s office.

• Schedule and reserve hearing dates with California Probate Courts.

• Conduct business searches and file documents with the Secretary of State.

• Prepare estate planning binders in accordance with the Probate Code and firm policies.

• Manage incoming mail process, including copying, scanning, naming, and filing mail for attorneys, calendar dates and determining next steps based on the content of the correspondence.

• Maintain client and administrative files, opening and closing matters promptly and in accordance with firm and practice group policies and procedures.

• Communicate with clients and potential clients, gathering necessary information for matter opening and scheduling Zoom video meetings, at the direction of their assigned timekeepers.

• Assist attorneys with the status of receivables, review and approve vendor invoices, and submit them to the accounts payable department.

• Coordinate attorneys’ travel arrangements, including booking airfare and hotel, and making other arrangements as needed.

• Keep a record of attorney’s expenses for submission to the Accounting Department, and register attorneys for detail oriented, business development, and continuing education events.

• Assist with attorney timekeeping, as well as invoice reviewing and processing.

Requirements • Minimum of 5 years of experience in a Legal Assistant role or similar

• Proficiency in Calendar Management, ensuring all appointments and deadlines are accurately recorded and updated

• Demonstrated ability to manage Electronic Files, ensuring all documents are properly stored and easily accessible

• Extensive knowledge of Probate & Estate Administration, capable of assisting with all related tasks and procedures

• Familiarity with Probate Law, able to assist in the preparation and filing of legal documents

• Experience in Estate Planning, capable of assisting clients in planning the distribution of their assets

• Understanding of Estate Law, able to assist in the management of the legal and tax aspects of a client's estate
