Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.

  • Advanced knowledge of Excel and other budgeting software.

  • Knowledge of analyzing and reconciling multiple budget funding sources.

Preferred Qualifications

  • Accounting or related degree.

  • Experience working with academic budgets.

  • At least 3 years of full-time paid experience working closely with budgets.

  • Experience using SAP for financial tasks.

Job Description

Responsible for coordinating all budget-related matters, including verifying compliance for funding sources and managing personnel budget changes and appointments.

Job Duties

  • Oversee auditing of Personnel Change Requests (PCRs) for job titles, pay rates, pay types, budget classes, and fund sources.

  • Prepare and approve PCRs in line with established policies and procedures within the Academic Affairs division.

  • Prepare deposits for credit card sales, Friends membership processing, and Performing Art Center and Evans rentals.

  • Complete contracts with visiting artists.

  • Complete P-card logs and waivers.

  • Process scholarships via BOSS .

  • Clear over budgets.

  • Create Purchase Orders (POs) for department and process reimbursements and invoices.

  • Responsible for all student hires and all travel in the Dean’s unit.

  • Confirm completion and verification of I-9 forms for new employees.

  • Audit budget requests for the division and assist in annual budget preparation.

  • Monitor budget balances, prepare budget transfers (IDTs), and assist faculty grant managers with daily budget-related matters.

  • Track budget reallocations, and identify special funding sources.

  • Analyze salary budgets and budget transactions for the division.

  • Confirm accuracy and policy compliance of faculty salary review forms.

  • Calculate faculty salaries, overloads, and funding sources.

  • Record all transactions and reconcile monthly ledger reports.

  • Responsible for purchasing via Marketplace.

  • Provide additional support to 5 academic units.

  • Assist with faculty travel.

  • May suggest minor modifications to processes to enhance the department’s performance.
