Minimum Requirements:

  • 4 years’ experience in Management in a professional services or law firm environment

  • Strong professional presence and leadership skills

  • Excellent interpersonal skills to interact with peers, lawyers, business professionals, and department management on a daily basis

  • Strong organizational, delegation and problem-solving skills to interpret and resolve issues as they arise

  • Ability to drive firm initiatives and develop a positive and inclusive office culture

  • Ability to multi-task and work effectively in a fast-paced environment and demonstrate strong technical and analytical skills

  • High School Diploma or GED

  • Must maintain confidentiality and demonstrate good professional judgment

  • Business/professional level Spanish and English speaking and reading/writing

Preferred Requirements:

  • Bachelor's Degree

  • Experience with facilities management

  • Knowledge of basic accounting principles to include budget management

What will your day look like?

As an Office Manager, you will oversee and support the daily administrative duties in the office and ensure that the office is operating smoothly. In this role, you will work closely with office and department leadership to ensure the overall office needs are met and drive office engagement and culture, fostering a positive team environment.

You will oversee the office hospitality and reception to ensure protocols and processes are adhered to, relaying information and escalating issues to the operations manager and office managing partner. You will serve as the liaison with the landlord and building engineering. You will provide onsite IT, Information Governance, and other department support as needed, escalating issues to the appropriate department manager. You will also handle onsite needs and collaborate with other departments for new hires and departures. You will assist with office layout planning and office moves.

You’ll maintain office administration and operations budgets for all areas of responsibility. You will also review related budgets, invoices, vendor payments, etc. on a regular basis to ensure adherence and report status and variances to office and department management.

You’ll identify opportunities for process and office management improvement and relay the same to office and department management. You’ll represent and support firm decisions and initiatives, ensuring firm procedures and policies are followed. You will also support large projects and programs in the office which may include IT, HR, D&I, Accounting/Billing, Client Events, etc. You will participate in and/or help socialize rollouts of the same. You will maintain confidential information in a professional and trustworthy manner. You will complete timely reports and communicate with the regional office administrator and office managing partner, relaying information and escalating office, employee relations, or other issues/challenges.

Additionally, you will collaborate with the office managing partners, marketing department, and various committees to create meaningful office and business professional relations events. You will schedule and provide onsite support in collaboration with the regional office administrator for local partner meetings. You’ll ensure the success of local meetings and events in collaboration with the onsite team. You will also be responsible for office communications regarding building notices, firm holiday notices, and other announcements as appropriate.

Physical Demands, Work Environment, and Other Requirements

Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
