Hiring for Part Time admin position in La Jolla!

Job Description:

  • Gather, sort, scan and disperse HR legal and payroll mail timely and in accordance with established deadlines.

    • In office at least 2-3 days a week
  • Validate employee and advisor data in various HR systems to properly identify where to send out various important forms and documents

  • Partner with internal team members, payroll, tax, imaging legal HR to ensure mail is sent to the accurate contacts

  • Escalate to leadership when there are documents that are new or it's unclear who they should be sent to

  • Keep accurate records of all the received mail by scanning and saving clearly and by category

  • Proactively identify when a process is not working or a procedure is unclear - be a trusted administrative partner

Skills:

MS office, mailroom, sorting

Requirements:

  • Able to handle highly sensitive information with professionalism and confidentiality

  • Must be highly organized able to sort track and manage high volumes of paper work within strict time deadlines

  • Comfortable using MS office products Outlook Word and basic Excel are required

  • A solution focused problem solver who is willing to do what it takes to get the work done right

  • Communicates clearly and works well with colleagues across different levels

  • It is complex work. Need to have critical thinking abilities to piece together how some of these forms are processed.
