San Diego Humane Society is hiring an Executive Assistant for our Philanthropy & Communications team!

The Executive Assistant will play an integral role in the day-to-day operations of our Marketing, Communications & Annual Giving team by providing high-level, comprehensive support to the Vice President (VP) of Philanthropy & Communications and four directors.

    What you’ll do:

  • Manage a diverse range of administrative tasks, including leading and/or assisting with special projects, creating complex documents and statistical reports, preparing PowerPoint presentations, collecting data for meetings, composing correspondence, processing invoices, completing expense reports, and monitoring the budget.

  • Provide sophisticated calendar management for the VP of Philanthropy & Communications, prioritizing a variety of inquiries and requests, resolving scheduling conflicts, and making recommendations to ensure smooth day-to-day operations.

  • Support Communications team leaders by assisting in project planning, including creating and managing timelines, budgets, agendas and action items. Liaise with graphic designers and content creators and provide project status updates to ensure timely delivery of milestones.

  • Demonstrate a deep understanding of the organization's mission and be prepared to share information with members of the public and donors. Provide tours to donors and other guests as requested.

  • Manage additional administrative tasks for the VP of Philanthropy & Communications, Director of Communications, Director of Public Relations, and Director of Digital Communications & Philanthropy.

  • Directly supervise Administrative Assistant II and collaborate with other Executive and Administrative Assistants on various office administration tasks.

    What we’re looking for:

  • Must have a minimum of five (5) years paid experience in administrative assistant or executive assistant position that has involved comprehensive office organization and procedural knowledge, use of all major Microsoft programs, as well as supporting multiple professionals (or relevant and equivalent experience).

  • Requires a bachelor’s degree in Business Administration, Communications, or related field (or any equivalent combination of education, training, and progressive work experience).

  • Prior experience supporting executive-level management highly preferred.

  • Must have a valid driver’s license and be approved by SDHS insurance carrier to drive a company or personal vehicle for work purposes.

  • Bilingual skills a plus, Bilingual-Spanish preferred

    The ideal candidate will have personal qualities of integrity, credibility, and commitment to the SDHS mission – you’re a proactive, hands-on thinker with solid problem-solving skills and a passion for details, processes and organization.

    Other relevant experience should include demonstrated ability to navigate internal dynamics and adjust to distinct needs of different individuals and the ability to evaluate and prioritize workload and work independently with minimal supervision. Prior experience in nonprofit and/or fundraising environment preferred.

    Location: Based at our San Diego Campus.

    Pay: Starting range is between $ 66,560 – $74,880 annually. The actual starting salary is determined by your related education and experience.
