Description

Applied Research Associates, Inc. is seeking an energetic, well-organized Administrative Assistant for our San Antonio, TX office to support a multidisciplinary team that provides electromagnetic design, development, and testing services. The qualified candidate will have 2-3 years of previous experience as an administrative assistant. AMA’s Administrative Assistant will provide support to ensure efficient operations of the office. The successful candidate will be responsible for performing a wide variety of administrative support tasks in support of a multidisciplinary team. This is a part-time, on-site position, which does not allow for remote work .

Applicants selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information.

What you’ll do as an Administrative Assistant:

  • Provide administrative support to the technical staff, including:

  • Answer incoming telephone calls.

  • Meeting preparation and support (i.e., teleconference, food, visitor log)

  • Greet and check in visitors.

  • Order and manage office supplies.

  • Submit and coordinate facilities work orders.

  • Manage office purchase credit card.

  • Coordinate required documentation and approval to make purchases.

  • Reconcile monthly credit card statement.

  • Other general administrative duties as assigned.

  • Act as the local Health & Safety Advisor for the location.

  • Ensuring that staff are providing a safe workplace, safe equipment and proper materials.

  • Act as the local physical security officer

  • Ensuring the facility is secure/protected from unauthorized access.

Administrative Assistant Position Requirements:

  • Must be a US Citizen.

  • Must be able to obtain a DoD security clearance.

  • Requires High School diploma or equivalent and 2-3 years of related experience.

  • Ability to multi-task.

  • Ability to keep sensitive information confidential.

  • Must be process oriented and flexible, being able to handle constant change and interruptions with a proven record of increased productivity.

  • Excellent verbal and written communication skills

  • Must be able to utilize resources in order to meet deadlines.

  • Strong attention to detail

  • Self-Starter who takes initiative

  • Basic knowledge of Microsoft Word, Excel, Power Point, and Outlook

  • Strong Interpersonal skills

  • Excellent organizational and time management skills

Administrative Assistant Position Preferences:

  • Experience with SharePoint

  • Experience with Concur System
