Program Administrator, Customer Service

 

Salt Lake City, Utah

 

Position Summary

 

Thales is seeking a detail-oriented and experienced Program Administrator to manage key operational aspects within the organization. Reporting directly to the Director of Service or Customer Service Manager, the Program Administrator will be responsible for the execution of set up and maintenance of sales and service orders for existing and new customers.

 

In this position, you have experience in data management and familiarity with various contract types. Key responsibilities include processing, monitoring service and spares requests. Interaction with multiple global customer base and US government entities, like branches of the US Military. Particularly US Government (USG) orders, and handling other Department of Defense (DoD) forms. Additionally, the role requires close coordination with other contract departments, program management and industry personnel to drive process improvements and ensure efficient execution of responsibilities.

Key Areas of Responsibility

  • Act as one of the main interfaces for customers and aftermarket sales. Prepares bids, quotes or proposals for aftermarket services and spares. Manage repair & service contracts, generate monthly reports, request invoicing, enter Sales Orders, process RMA requests, Process Service Orders, create Outbound deliveries.
  • Customer data input into ERP system. Accessing US Government (USG) Systems WAWF, CAV, IUID. Understanding of USG regulations like FAR, DFAR, GFP. Assures the performance of the customer service department with focus on working with other internal teams for ensuring successful achievement of department objectives and customer satisfaction.
  • Monthly, Quarterly & Yearly KPI reporting. Participate in generation of field service bulletins and distribution. Generate, Review and submit for approval of Customer Service (CS) sales orders. Auditing for accuracy and completeness
  • Manage Customer or Government owned inventory. Input various transactions into internal ERP. Deal with all types of customer service issues, and ensure overall customer satisfaction.
  • Maintain clear communication with customers and provide updates as needed while also documenting all interactions and resolutions. Any additional task/s assigned by Director of Services or Customer Service Manager if deemed necessary

     

Minimum Qualifications

  • Associates degree in a related field of study with a minimum of 1 + years of relevant work experience, or an equivalent combination of education and experience.
  • System Tools: Microsoft Office suite such as WORD, EXCEL, Power Point
  • Excellent interpersonal communication skills. Experience interacting with the senior management. Openness to challenges with a solution focused, agile and proactive approach Team player.
  • US Citizen or Permanent US Resident (Green Card Holder).
  • Capability to perform under pressure in a dynamic environment with a high degree of initiative and motivation.
  • Results oriented individual with degree of accountability and ability to take ownership of organizational performance. Experience managing scope and requirements autonomously.

  • Schedule: First Shift, 5/40 or 9/80 work schedules
  • Physical Environment: Office/Manufacturing/Production area/Warehouse
